About the Role
We are looking for an Executive Administrator who can provide efficient and high-quality administrative support to our Executive team and to the Executive Assistant and Governance Coordinator. This role comes with the exciting opportunity to undertake a Business Administration qualification via an apprenticeship. This is a hybrid role and it is anticipated that you will work at your local campus one day per week (there will be occasional additional travel requirements for in-person events, team days or organisation away days).
The successful candidate will have some experience working in an administrative role or a keen interest in developing their skills in this area. They will be able to demonstrate excellent organisational and communication skills, and a positive and proactive attitude. They will be able to handle a variety of tasks, from booking travel and accommodation for the organisation, to co-organising the bi-annual all staff team days, to supporting members of the Executive Team with diary management. They will also be able to work effectively within a geographically distributed team and handle confidential information with sensitivity and discretion.
No two days will be the same in this role and you will engage your organisational and administrative skills to the full, responding to ever-changing priorities and ad hoc tasks in a positive and people-focused way.

Key Responsibilities
* To provide efficient and high-quality administrative support to the Executive team and the Executive Assistant and Governance Coordinator.
* To support the Executive Assistant to devise, maintain and monitor effective administration that enables the NIoT Executive team to fulfil their responsibilities.
* To work with the Executive Assistant on diary management and scheduling support for the Executive team.
* To act as a point of contact between the Executive team and internal and external stakeholders, acting with professionalism and discretion, proactively arrange meetings, prioritise work, manage conflicting needs.
* To provide effective secretarial and administrative support including drafting general correspondence, reports and briefings on behalf of the entire Executive team with speed and accuracy.
* To support the entire Executive Team by setting up meetings, booking rooms and venues, and with forward planning to ensure that meetings are prepared for in advance.
* To book travel and accommodation for the organisation, ensuring that the best value and service are obtained, and co-manage the company travel and accommodation accounts.
* Co-organise the bi-annual all staff away days including agreeing agendas and getting papers for the day as well as arranging transport and overnight accommodation in line with allocated budget.
* To screen and prioritise telephone calls and answer general queries by programme participants, members of the public or sector colleagues.
* To proofread and support with the formatting of key external correspondence from the Executive team, including letters, presentations, comments on reports, etc.
* To maintain a close working relationship with other NIoT staff, both centrally as well as in our four regions.
* To carry out any other duties as reasonably requested by the Executive Team or Executive Assistant.
* To maintain the highest level of confidentiality, using discretion in providing information both within and outside of the NIoT.
Essential Criteria

* Ability to manage competing priorities and work to deadlines
* Previous work experience or willingness to work in a geographically distributed team
* Sensitivity and discretion when handling confidential information
* An interest in the education sector

* Strong working knowledge of Microsoft Office Suite, including Teams
