Main Purpose
To provide a full range of operational and administrative duties working in collaboration with the Regional Operations Manager and other management and supervisory personnel within the operations division.
Main Responsibilities
1. Plan and organise training courses including arrangement of accommodation and venue (internal & external) based on mandatory requirements for roles within the training matrix and other requirements within training plans.
2. Develop draft annual training plans for allocated BPA personnel.
3. Hold BPA credit card for purchasing and submit accurate data each month.
4. Submit purchase orders through internal systems.
5. Offer full administrative support to all team members as and when required.
6. Collate team KPI & HSSEQ data and submit regularly at month end for inclusion in corporate KPI data collection.
7. Progress and record all site inspections in accordance with annual HSEQ plan and enter/update Action Tracking as required.
8. Reconcile Petty Cash.
9. Purchase supplies and stationery for allocated Sites and personnel as required.
10. Participate in planned/unplanned internal and external audits as required.
11. Participate in company working groups and committees as required having a positive input to improvement initiatives.
12. Attendance at client contract meetings accompanying Operations Management to take notes and ensure accurate minutes are detailed and issued in a timely manner.
13. Administer and coordinate service and supply contracts for regional sites including writing scopes of work, obtaining quotes, placing orders and undertaking performance reviews. This currently includes waste collection, office cleaning, window cleaning, catering, water sampling and recycling services, but other services may be required in future.
What Will You Need
* Experience of Microsoft Office packages and fully conversant with MS Word, MS Excel & PowerPoint.
* Education to ‘GCSE O’ level English or equivalent.
* Good communication skills.
* Ability to work on own unsupervised and to participate as a team member and possess good interactive skills.
* Driving licence required.
* To be able to self-organise and achieve workload targets with minimal supervision.
DESIRABLE
Business Administration Certificate.
Diploma in Office Administration.
Salary: £23,000 - £25,000
This is a part-time role working 30 hours per week, 6 hours per day Monday to Friday.
