Planned Preventative Maintenance (PPM) Coordinator

We are looking to recruit a Planned Preventative Maintenance (PPM) Coordinator with a positive can-do attitude to join our team who can manage the works relating to the Building, Engineering & Maintenance PPM's and associated data and information collection.
Through the use of the Computer Aided Facilities Management (CAFM) system ensure PPM is delivered on time. Effectively use schedules to prepare for upcoming planned maintenance. Liaise with engineers to allocate resource for planned works. Issue work to staff, engineers and contractors via mobile devices/paper tickets. Monitor and report PPM Performance.
Main duties of the job
The ability to interrogate returned PPMs, run reports and issue Planned Preventative Maintenance (PPM) tasks to the maintenance workforce using a CAFM system.
Monitor and record issued and completed PPM jobs using Excel spreadsheets.
Accurate data entry onto the asset spreadsheets.
Attend weekly Resource meetings, taking minutes and action points as required.
Work closely with the engineers/managers for changes and additions to PPMs.
Carry out a range of complex administrative tasks specific to work area.
Provide a range of documents - letters, spreadsheets, posters using relevant software packages.
The ability to generate emails and other correspondence.
Cover any other administrative/reception duties as required.

Qualifications
* Educated to A level or NVQ level 3 Customer Service/ Business Admin /ITQ.
Experience
* Experience of working in a busy clerical/office environment or reception service.
* Prioritising, planning and organising own tasks.
* Working within guidelines.
* Experience of dealing with difficult situations and confrontations.
* Data entry experience and documentation.
* Experience of IT packages - Microsoft office.
* Experience of producing documents to a high standard.
* Previous experience of working in NHS.
* Previous experience of using a CAFM (Computer Aided Facilities Management) system.
Knowledge
* Understanding of confidentiality and data protection.
* Sound knowledge of office procedures.
* Understanding of customer service.
* Good working knowledge of Microsoft Office packages.
* Knowledge of Trust information systems.
* Awareness of NHS targets and Trust priorities.
