As an Administrator/Reception Assistant you will be responsible for helping to provide efficient and accessible administrative support for both the smooth running and effective management of the establishment. By carrying out this role you will make a significant contribution to establishing and maintaining a well organised office as well as build positive relationships and effective communications with our employees, students and partners outside of the school. The ideal candidate will have: Experience in taking minutes of meetings. Proven experience as a receptionist, front of office representative or similar role. Good written and verbal communication skills. Professional attitude and appearance. Experience of using a range of office IT packages e.g., Word/Excel/PowerPoint/Outlook Excellent organisational skills. Excellent customer service. Multi-tasking and time management skills, with the ability to prioritise tasks. Taking notes/minutes of meetings. Ensuring deadlines are met, organising schedules, liaising with external agencies and local authorities on behalf of the Headteacher and other senior staff. Responsibility for undertaking administrative and organisational processes within the school. Maintaining the Reception, dealing with enquiries and providing general clerical support. Maintaining information databases, both manual and computerised. Attending and participating in regular meetings in school with support staff and in any additional or appropriate service training days. Undertake any other administrative duties requested by the Headteacher. Southlands School is an Ofsted-registered co-education specialist day and residential school with a registered children’s home. We provide education and care, supported by our multi-disciplinary clinical team, for children and young people aged 7-19 years who have a primary diagnosis of Autism or whose profile of need can be successfully supported by the use of autism specialist strategies. Requirements for an Enhanced DBS and reference checking will be undertaken in line with government regulations and safer recruitment best practice. Whilst we endeavour to keep the recruitment process as short as possible due to the nature of these important checks it may extend the processing time. We will conduct online searches of shortlisted candidates. This check will be part of a safeguarding check and the search will purely be based on whether an individual is suitable to work with children. As care must be taken to avoid unconscious bias and any risk of discrimination a person who will not on the appointment panel will conduct the search and will only share information if and when findings are relevant and of concern.
