We are looking to recruit an enthusiastic individual to work as part of our team providing a medical staffing support service for the Medical and Dental staff within University Hospitals Sussex NHS Foundation Trust.

Main duties of the job
This is an exciting role which will suit an individual who has a passion for delivering excellent customer service, as well as a proven ability to build strong working relationships with key stakeholders. We are looking for someone who can work effectively in a busy team, utilising excellent IT, interpersonal and organisational skills to work collaboratively as part of a team.
The role provides a comprehensive recruitment advisory and transaction administrative service to designated divisions for medical and dental positions to ensure that recruitment is undertaken in a timely and professional way. Through close working, liaison and negotiation with senior managers and clinicians, whilst having regard for cost, quality, customer service and Trust policy, this role is central to supporting the delivery of clinical care within the Trust.

* Advise line managers on the most appropriate approach to recruitment including media, advertising copy, selection methodology and recruitment process and timescales
* Administer the recruitment process for all medical staff roles and ‘trouble shoot’ recruitment delays to meet the operational priorities
* Identify with the Operational line managers the resourcing priorities arising from workforce intelligence data around vacancies, capacity and turnover
* Participate in recruitment panels to support clinical appointing managers, and to progress pre-employment checks to ensure these are completed in accordance with Trust Policy
* Ensure the provision of feedback to candidates and selection panels on the results
* Provide a comprehensive recruitment service using electronic systems, including but not limited to preparing all necessary documentation and ensuring that processes are completed, and appointments committees or panels held within agreed timescales
* Manage the recruitment process to meet recruitment KPIs as agreed with the Medical Workforce Team, Education Department and HEE to support the junior doctor recruitment and appointment processes
* Monitor recruitment initiatives to ensure that any issues which might affect success are identified to line managers and appropriate interventions agreed
* Collect data on recruitment progress and produce information for line managers so that they are aware of the position for each job being recruited against
* Identify any process improvements to ensure recruitment policy and procedures are continuously improved
* Understand the divisional medical workforce plan so that recruitment can take place with knowledge of both the broader context and agreed priorities
* Respond to queries about terms and conditions of employment for medical and dental staff, and the management of processes that arise from these, referring matters upward where it is appropriate to do so
* Monitor the contractual position of employees on fixed-term contracts or those having resigned their position, ensuring that appropriate advice is given to service managers and individual doctors to enable continued employment or termination of employment as appropriate.
* Commence visa applications for medical staff where necessary and to ensure that personal details and leaver details are recorded on the appropriate systems.
* Authorise amendments to employee terms and conditions including pay, resolving queries or anomalies
* Liaise with the Payroll Hub to ensure accurate payment of wages and resolution of queries in respect of medical staff
* Liaise with Postgraduate Education Centre, IT, Occupational Health and Payroll effectively to ensure smooth running of junior doctor changeover and Induction
* Represent the medical workforce team at internal meetings relating to junior doctors in training
* Ensure the Trust and relevant Operational Managers have up to date information regarding medical staff recruitment, vacancies and rotations, be aware of key medical workforce issues and the impact on the organisation
* Support EWTD and Exception Reporting processes for junior doctors’ hours, including for less than full time doctors
* Liaise with the postgraduate medical education team regarding less than full time trainees, maternity leave and long term absences
* Respond to queries about terms and conditions of employment for medical and dental staff and the management of processes that arise from these, escalating matters where appropriate to do so
* Monitor the contractual position of employees on fixed-term contracts or those having resigned their position, ensuring the appropriate advice is given to service managers and individual doctors to enable continued employment or termination of employment as appropriate
* Ensure all pre-employment checks for medical staff (including honorary contracts and clinical attachment for medical staff) are completed in a timely fashion, in line with Trust policy and to ensure all medical staff are appropriately cleared to commence work
* Support Managers, Chiefs, Lead Consultants and other key stakeholders to assist in the management of sickness absence for Medical & Dental staff
