Legal Admin Assistant - Nuclear Operations
Salary: £16.63 per hour
Hours: Part time spread over 5 days 29.5 hours per week
Vacancy Overview:
You'll be a key part of the Nuclear Operations Legal team, providing general administrative support to help the team to achieve its ambitions and objectives. You'll need to build relationships within the team and with the wider business, being proactive and solution focused.
Principal accountabilities:
1. Coordinate diary arrangements using initiative and judgement to proactively identify and resolve conflicting meeting arrangements.
2. Arrange various meetings on behalf of the team, including team meetings, training sessions, and team events to external sites plus support and organisation of events management.
3. Coordinate and book travel arrangements taking into account business priorities to make the best use and provide itineraries for travel.
4. Action monthly expenses, and reconcile expenses statements for the Legal team.
5. Raise IT Access and Equipment requests and support New Starters with onboarding arrangements.
6. Manage and update IT and any other equipment spreadsheets.
7. Maintain starters and leavers, carrying out onboarding and ensuring starters undertake EDF Energy's induction programme; carry out administrative tasks for starters and leavers ensuring systems and trackers are up to date.
8. Assist with distributing Board Papers and following Board meetings action Board Minutes & Actions ready for sign-off. Ensure redacted packs are shared with Centrica where appropriate.
9. Provide ad-hoc administrative support for the team such as printing and collating papers/packs for meetings and other activities.
10. Maintain and update the document management system and assist the Legal Counsels in filing and storing documents in it.
11. Design slide packs for presentations.
12. Provide cover for PA 1 day per week.
Skills and Qualifications:
1. Experienced administrator.
2. Proven organisational, prioritisation and time management skills.
3. Highest attention to detail.
4. Proven evidence of being a team player with a 'can do' attitude.
5. Experience of working in a legal environment with focus on deadlines.
6. Strong communication skills: written and verbal and commitment to finding solutions.
7. Strong IT skills and Microsoft package, particularly Excel and Outlook.
8. Must be able to show initiative and to think on his/her feet to solve problems.
9. Ability to work unsupervised and proactively.
10. Demonstrates high levels of integrity and confidentiality.
11. Strong relationship building and interpersonal skills - able to interact with all team members and senior business leaders.
12. Positive, innovative, pro-active and flexible approach.
13. Comfortable operating in a dynamic environment and moving quickly when required.
