The West Midlands Rehabilitation Centre (WMRC) provides a range of services for people in the West Midlands to assist them in managing their disabilities. The Service is for people with physical, cognitive, emotional and social disabilities. All our services are provided by teams of clinical professionals and support staff who aim to provide integrated services in ways that best meet the needs of patients and their carers.
The post holder will provide administrative and business support to the departments within the Rehabilitation Services.
To work as part of a team to carry out administrative duties on a day to day basis. This may include covering essential and appropriate operational duties in the absence of colleagues and knowledge transfer.
Provide administrative support to the patient pathway process, ensuring information is recorded timely and accurately on to identified information systems. Ensuring any delays to the patient are escalated to the appropriate staff. This will include:
1. Registering new patients and recording referrals.
2. Printing and distributing appointment lists, transport lists etc.
3. Updating patient demographics. This includes patients' address, GP, contact details etc.
On a daily basis, liaise with patients, staff internal or external clinical and non-clinical, contractors, suppliers, and external organisations. This may be via the telephone, email, written correspondence or face to face.
On a daily basis deal with telephone enquiries/queries received into the service ensuring any messages are communicated timely and accurately.
Check identified answer machine messages and generic email accounts at regular intervals throughout the day ensuring all messages are actively dealt with and communicated to the relevant person/team.
Follow local procedures to produce electronic and written correspondence this may include: emails, letters, reports, agendas, minutes and standardised templates.
Maintain department manual and electronic filing systems, ensuring systems are regularly maintained and archiving is completed to local and Trust policies and procedures.
