Summary of the role : Provide full administrative support across the People Experience function in-line with policies, procedures and good practice Key Responsibilities: Answer and respond to telephone enquiries into the People Experience team, providing advice and support on People Experience matters, with a 90% answer rate. Manage and document all responses to the DSGSubmissions Inbox, tracking employee acceptance of key employment documents. Manage and respond to email enquiries into the HR Inbox in a timely manner, providing advice and support on People Experience matters, and redirecting where appropriate. Monitor upcoming employment changes based on length of service including Probationary Periods, Long-Service, etc. Issue employment letters for relevant changes in employment, including Notice Letters, Salary Increase Letters, Resignation Acceptance Letters, etc. Provide support to the People Experience Advisors with Employee Relations cases relating to investigations, grievances, disciplinaries, warning, probation issues, and redundancies. Manage and review employees who are absent from work, liaising with Payroll and Health & Safety where necessary and ensuring Welfare Checks are completed. Track and manage employees leaving the business, liaising with relevant departments and ensuring accuracy for reporting. Manage and review Right to Work expiring and contact all relevant employees to ensure continued compliance. Assist with Company Audits, ensuring all required documentation is on date, available, and correct. Output / Reporting: Track and report on key people data for Senior Leadership review. Communicate potential leavers to Operations and Regional Support to monitor accurate Distribute data summaries to Operations to support clear communication. Maintain communication with Health & Safety in relation to Absence Management and Employee Relations cases Key Communication Channels: Communicate with Onboarding regarding Contracts of Employment, Assignment Schedules, and Right to Work for New Starters to the business. Discuss with Regional Support employees leaving the business, including redundancy risks. Maintain good communication with Payroll in-relation to absences and leavers. Ensure Recruitment communicate key evidence and details relating to redundancy risks to the business, and potential reassignment considerations / plans. Maintain good working relationships with the Operations team to consistently discuss, monitor, and resolve key people issues.
