Job Overview
We are seeking a highly organised and detail-oriented Accounts Payable / Office Assistant to join our finance team. This dual-role position combines managing accounts payable duties while also supporting office administration. The successful candidate will be responsible for processing invoices, maintaining financial records, and being the first point of contact for customers, ensuring smooth and efficient operations in the office.
Key Responsibilities:
Accounts Payable
• Manage the accounts payable process, including receiving, reviewing, and processing invoices.
• Ensure timely and accurate payments to suppliers.
• Assist with the preparation and maintenance of financial records and reports.
Customer Service
• Act as the first point of contact for customers via telephone
• Provide quotations via telephone or email with cost breakdown and stock availability
• Enter Sales orders on to Sage
• Ship orders with carriers such as DPD, DHL, Fedex, TNT and UPS, ensuring all customs documentation and declarations are completed
• Track deliveries to ensure they arrive on time and resolve any delivery issues
Office Administration
• Organise and maintain office supplies, ensuring a well-functioning office environment.
• Support general office administration tasks, such as scheduling and filing.
• Provide holiday cover for other roles within the office
Requirements
• Previous experience in a purchase ledger or accounts payable role is desirable
• Experience with Sage or similar accounting software is a plus
• Strong data entry skills with a keen eye for detail to ensure accuracy in financial records.
• Excellent organisational skills with the ability to manage multiple tasks effectively.
• Excellent communication skills both written and verbal
• Self- motivated, punctual, reliable and able to maintain confidentiality
• Proficient in Microsoft Office (Excel, Word, Outlook, etc..)
Qualifications
Good general level of education GCSE grades A-C, Qualification in accounts or studying towards an advantage
Job Type: Permanent - Full Time
Hours – 8.30am to 5.00pm Monday to Thursday/8.30am to 4.00pm on Friday
Holidays – 28 Days including Bank Holidays
Salary – starting £25,000
