Job Purpose
To provide efficient, high quality administrative support to the Client Management function as part of Walter Scott’s Client Service team.
Key Responsibilities
1. Client Take On Process – responsible for various key tasks including: initiating, launching and ensuring completion of the client take on process in Salesforce, coordinating activities with other WS teams, ensuring completion and reporting on status.
2. Salesforce updates – responsible for updating contacts and company changes; adding, changing, making inactive, notifying impacted teams, updating distribution lists and considering other impacts such as authorized signatory lists.
3. Registers & obligations – maintain records to track documents sent to clients and prospects to ensure regulatory compliance.
4. Record management – assist with updating and maintaining client records in accordance with WS policies and procedures.
5. Coordinate the production of electronic mailings.
6. Assist in the monitoring of the Client Service mailbox, ensuring that correspondence is distributed as required, actioned promptly and filed electronically in accordance with Walter Scott filing procedures.
7. Prepare reports to support weekly Client Management and Client Service meetings and assist in the preparation of other monthly and ad-hoc management reports.
8. Vendor Process – Coordinate the internal vendor process for the Client Service team.
Additional Responsibilities
1. Assist with Client Management team tasks as and when required, which could include participation as the Client Management representative in firm wide projects.

Technical Skills, Knowledge, Systems Knowledge
1. Working knowledge of Word, Excel and PowerPoint essential.
2. Knowledge of Salesforce advantageous but not essential.
3. Knowledge of the financial sector would be advantageous.
Academic/Professional Qualifications
1. University degree or equivalent preferred.
