People Assistant – Colleague Experience

Right now, we are looking for a People Assistant to join our Colleague Experience Team at our Fulfilment Centre in Stafford.
The Role
The People Assistant will be responsible for providing an operational coordination service to the business and team. They will be responsible for supporting the hiring managers with the processes and tools to enable them to ensure Pets Group has the right people, in the right place, at the right time. Ensuring the candidate experience is seamless, supporting colleagues through the recruitment and selection process, utilising success factors to deliver an end-to-end people service. Colleague Engagement activities and Rewards and Recognition.
Key Responsibilities
1. Responsible for ensuring a seamless transition for the candidate from recruitment to start date and through their first week in training.
2. Conducting Drug and Alcohol tests as a pre-employment check
3. Stock checks of Drug and Alcohol tests
4. Collecting Right to Work
5. Collecting Criminal declarations
6. Work closely with the Talent Acquisition team and support the operational team with smooth transition for the new candidates into their shift pattern.
7. Manage Induction Diary and create New Starter Packs which include rota, pay dates, first 3 days at PAH, absence line information, name badge and access fobs and Locker Fobs
8. Supporting the Colleagues in setting up and using their Success Factors/ Viva Engage and Intranet Accounts
9. Support and encourage compliance with policies and procedures throughout the resourcing lifecycle, including ensuring comprehensive and accurate information is maintained in key systems to ensure consistent standards across the team.
10. Working to a paperless system, so scanning and filing of all people files and colleague correspondence.
11. Accountable for temp to perm agency recruitment, through liaising with the site resource planning Manager regarding volume recruitment forecasts and communicating with all key stakeholders on the plan each period.
12. Accountable for organising and delivering induction days for all agency temp to perm colleagues across days/noon’s and night shifts and preparing all paperwork ready for each candidate, consulting with the Operational Teams and H & S to deliver their segments on the day.
13. Processing new starter uniform orders and working closely with site receptionist regarding new starter orders.
14. Support Site receptionist with uniform deliveries.
15. Collating all colleague paperwork and updating personnel records where appropriate
16. Rewards and Recognition program including Long Service, Colleague of the Period, Team of the Period, Leader of the Quarter, Nibbles. Ad hoc Competitions. This Program may change to suit business needs. WLM Performance awards.
17. Engagement Activities, Seasonal Events, Colleague incentive occasions
18. Support Colleague Experience Lead with site communications areas: Boards/ Screens/ Table Toppers
19. Keeping the Engagement Activities Storeroom tidy and organised
