Main Duties of the Job
Duties and Responsibilities:
1. Central Network and Team Administration:
1. Administer network and support teams centrally.
2. Maintain accurate records and data collection using Word and Excel.
3. Keep paper and electronic files updated.
4. Manage and distribute incoming central emails.
5. Liaise with offsite team members and GP Practice Network.
6. Communicate effectively, both written and verbal.
7. Support organization of team healthcare meetings; prepare, distribute, and take minutes.
8. Find and provide data per procedures.
9. Organize work effectively; coordinate with leads to maintain supplies.
10. Produce statistical information for network/project needs.
2. Opportunity to learn GP systems (e.g., EMIS).
3. Assist at offsite events and clinics as needed.
4. Management of Medical Records:
1. Ensure records are accurately filed upon arrival.
2. Retrieve and re-file records promptly upon request, adhering to strict alphabetical order.
3. File correspondence, reports, and results correctly.
4. Maintain records in good order and ensure all information is recorded accurately.
5. Appointment System Management:
1. Fully understand all appointment systems, including variations.
2. Book appointments and recalls, ensuring all required information for record retrieval is documented.

Job Responsibilities
The role is primarily based in Willesden within the Whole Systems Integrated Care (WSIC) project team but may involve cross working on other key and exciting projects should the need require. The Administrator will support the K&W Healthcare professionals and Member GP Practices in general administration duties and be part of a team involved in delivering quality healthcare across the network. They will also form part of the regular meetings to discuss individual patient health and support and provide clear and concise minutes of meetings for distribution. Regular reporting to the Project Lead and management team, liaising with the network of 27 GP Practices and assisting in coordination of patient care, the post holder needs to be able to use initiative and work equally well alone and as a team, with the motivation to achieve tasks within defined timelines.
The post holder will receive excellent support and learning from the small and efficient project team.
* Preferably with experience in the medical sector.
* Preferably with knowledge of EMIS and Docman.
* Good written and spoken communication.
* Punctuality is a must.
* Basic IT knowledge is required.
