Description Key Responsibilities: · Data Management: Track and record employee absences (holidays, sickness, etc.) in systems like Kronos, ensuring accuracy. Update and maintain forecasting data, employee skills, competencies, certifications, and pay grading systems. Process holiday applications and verify weekly hours reporting, ensuring compliance with business policies and identifying discrepancies in timesheets. · Temporary Staffing & Agency Management: Monitor agency staffing KPIs, assess agency performance, and maintain a list of employees. Coordinate staffing agency communications to ensure resource scheduling meets operational needs and provide support for ad-hoc staffing requests, shift changes, and last-minute staffing requirements. Assist with the integration of temporary staff into the workforce, ensuring they align with operational goals. · Data Analysis & Reporting: Maintain operational performance trackers, analyse forecast vs. actual staffing data, and ensure proper organization of historical data for strategic decision-making. Distribute performance reports to key stakeholders, providing insights into staffing trends and operational needs. · Additional Duties: Provide coverage for the Planning Team Manager in their absence and assist in long-term workforce planning by evaluating staffing needs based on operational growth projections. Skills and Qualifications: · Strong attention to detail with excellent organizational and time-management skills. · Proficiency in time-tracking and data management systems · Excellent analytical skills with the ability to track, report, and analyse data. · Strong communication skills to interact with internal teams and external agencies. · Knowledge of staffing KPIs. · Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. · Experience in workforce planning, HR coordination, or data management is preferred. · Proficiency in Microsoft Excel or similar tools for data management and reporting.
