Senior Sales Administrator
To provide first class administration support to the Barrington James Senior Leadership team, PA to the CEO and wider sales staff to enable them to focus on their core duties.
Responsibilities
Global Travel Coordination
* Manage travel arrangements for employees (below Director level), ensuring efficient and cost-effective solutions for office visits and client meetings.
* Collaborate with the PA to the CEO to coordinate logistics for large-scale company events.
Conference Management
* Oversee conference booth arrangements, including furniture, electrics, and carpeting, ensuring every detail aligns with our brand image.
* Coordinate the transportation and tracking of promotional materials and stand equipment to and from events, ensuring everything arrives safely and on time.
* Conduct regular stock checks of promotional items and prizes to maintain readiness for upcoming conferences.
* Liaise with Marketing to optimize our event presence through compelling social media content and tailored promotional materials.
* Source and negotiate cost-effective solutions for conference stands, promotional items, and gifts, balancing quality and budget.
Internal Documentation and Policies
* Maintain critical company documents, including the directory on SharePoint, staff turnover reports, and the Directors’ Bible.
* Partner with the Board to review and update company policies and ensure changes are implemented effectively.
* Assist Directors in creating and managing tracking documents and reports to support business objectives.
Competitions, Incentives, and Awards (CIA)
* Collate global CIA data and produce insightful monthly and quarterly sales presentations.
* Monitor team achievements and collaborate with managers to highlight incentive opportunities.
* Update digital signage and internal boards with the latest successes and initiatives.
Reporting and Financial Oversight
* Provide monthly reports to Finance on incentive qualifications and awards.
* Maintain a comprehensive record of company achievements in a Diary of Successes.
* Track charitable fundraising efforts, ensuring funds are correctly allocated to respective charities.
Event Management
* Plan and execute internal events, including quarterly sales meetings, the summer party, the Christmas party, and the Annual Awards, from concept to completion.
* Source venues, manage budgets, and ensure every detail is flawlessly executed, from theming to presentations.
* Organize corporate charity initiatives and foster engagement across global offices.
Additional Responsibilities
* Manage business card orders and ensure adequate promotional stock for new starters and events.
* Coordinate international shipping of documents and materials.
* Provide flexible support to the Sales Support team as needed.
