This is an exciting opportunity to join an established IAPT service as an Admin Assistant for the Boston Lincolnshire Talking Therapy Team. We are looking for an organized, flexible, efficient team player to join our busy, supportive service.
The successful applicant will be based at Boston LTT, supporting service delivery, working Mon 9-5 and 1 late shift per week on a rota. Duties include reception cover, booking patient appointments, inputting data, and other general office tasks. The service will provide regular supervision and training to support this.
You will require excellent communication, organizational, and IT skills as well as having an exemplary telephone manner, with the initiative to work on your own at times. We are currently offering hybrid work if appropriate and rostered by the supervisor and Team manager, ensuring that office cover is maintained as the priority.
Main duties of the job
1. To provide a high standard of service to all colleagues resulting in safe and effective treatments for service users & their families/carers.
2. Support the provision of a flexible 7-day-a-week service.
3. Duties provided within defined time standards.
4. Compliance with appropriate legislation and LPFT policies.
5. Feedback from colleagues and other stakeholders.
6. Compliance with CQC standards.
7. Accurate and appropriate information is recorded appropriately using the Trust's information systems.
8. Productivity targets are met.
Job responsibilities
1. Gathering appropriate information from a variety of sources to input accurately onto a database.
2. Process referral on to the IAPTus system.
3. Communicating sensitively with anyone coming into the department maintaining strict standards of confidentiality.
4. General administration duties including answering phone, taking messages, dealing with enquiries, photocopying, and assisting with the effective dissemination of information as appropriate.
5. Typing and producing letters, reports, faxes, and e-mails to an accepted standard of quality and accuracy as required.
6. Collecting minimum data set information for patients prior to commencing treatment.
7. Assist in scheduling of appointments and diary management as appropriate using IAPTus.
8. Record all data using the appropriate information system or manually where this is required.
9. Comply with and carry out safe practice in accordance with Trust policies and procedures, appropriate Codes of Conduct, the Mental Health Act (1983), and other relevant national and local guidance.

* Understands Code of Conduct in relation to Data Protection and Information Governance.
* Organize and plan straightforward activities relating to own workload on a day-to-day basis, adjusting own workload in response to prevailing circumstances.
* Managing own activity within sphere of responsibility.
* Ability to accurately input confidential data onto a database.
* Excellent telephone manner.
* Able to use own initiative.
* Able to communicate with Service Users.
* Resilience to difficult and sometimes potentially upsetting situations.
Qualifications
* GCSE in English, grades A-C or level 2 Literacy or equivalent.
* NVQ level 2 Business and Administration or equivalent.
* ECDL or equivalent including basic knowledge of all MS Office packages.
* Typing/word processing or equivalent.
Experience
* Relevant experience of working in a general administrative background, preferably within an NHS setting.
