An Assistant Private Secretary opportunity has become available on an interim basis for 6 months, working for a large central government department. This role requires someone who holds SC clearance. This role provides an exciting opportunity to play a pivotal part in the effective operation of the Chief Finance Officer’s Directorate. We are looking for an enthusiastic and committed individual with exceptional communication skills who prides themselves on their ability to deliver extraordinary levels of service and provide solutions.
As Assistant Private Secretary, you will be responsible for providing direct administrative support to the Chief Finance Officer and will work closely with the directorate’s Senior Leadership Team and wider business functions to ensure the smooth operation of all office operations, which includes management of the Directors' busy diary and inbox. You will work closely with the Private Secretaries and Business Managers across the Chief Finance Officer’s directorates to ensure seamless interaction between the different parts of the directorate.
This is an exciting opportunity for an ambitious individual with experience in multitasking and prioritizing tasks to ensure the smooth running of the office, working on a one-to-one basis with the Director, and on a wider basis with internal and external stakeholders.
Key accountabilities include but are not limited to the following:
1. Supporting the Chief Finance Officer with appointment setting, calendar management, travel arrangements, and correspondence.
2. Acting as the point of contact between the Chief Finance Officer and internal and external colleagues, anticipating and determining their needs to ensure greater efficiencies.
3. Helping to manage the Chief Finance Officer’s inbox, commissioning additional information where/when necessary, responding on behalf of the Directors, and directing everyday activities.
4. Coordinating staff meetings, taking and disseminating meeting notes, and action tracking.
5. Ownership of the Chief Finance Officer’s intranet content and SharePoint sites.
6. Supporting the arrangement of team away days and events.

1. Effective, strong organizational skills, attention to detail, and the ability to process a large quantity of information with pace and accuracy.
2. Experience of working with a range of stakeholders across organizational and professional boundaries, building positive working relationships.
3. Demonstrate self-motivation and proactivity, with the ability to manage and prioritize your personal workload.
4. Ability to communicate effectively, in writing and orally, with stakeholders at all levels.
5. Ability to manage multiple priorities on parallel and competing deadlines.
6. Experience of working both independently and as part of a team to achieve your goals.
7. Ability to develop and maintain relationships with others.
