This is a varied and busy role supporting a high profile but private and discreet family. The responsibilities will vary from day to day, depending on the family’s necessities and will involve working closely with the family office, liaising with the principals’ business assistants with regards to their domestic diary and ensuring that all appointments are scheduled efficiently and communicated clearly to all relevant parties. As well as all Private PA responsibilities, a significant element of the role is the organisation of all private travel, including ensuring all family members’ passports are kept up to date, visas are processed efficiently, as well as researching new and exclusive destinations and managing itineraries and arrangements throughout the trip. While most of the year you will be supporting the family remotely from the UK, when the family are in London during the summer months, the will be more in-person support required. Although the role is a 9-month maternity contract, the family highly-value their staff and there is a possibility that a permanent position could come from the contract, even though the existing EA will be returning to the role after her maternity leave. Hours:- Full time with flexibility beyond standard office hours Location:- Remote, with ability to regularly meet with family in Central London when in residence during the summer months Salary:- Dependent upon Experience Start Date:- April 2025 Interviewing:- ASAP Responsibilities include, but not limited to: Provide personal assistance to principal (young couple with children) and on occasion wider family (parents/siblings etc) Manage running of central London apartment along with a wider support team Handle travel logistics (provision of documentation to visa team, only ever private travel so liaising with aviation; cars, arrival to hotels/villas including that of staff) Errands, Shopping and sending of items overseas Procurement of gifts Research children’s activities, classes and excursions the family can do while travelling and in the UK Reservations of hotels/visits to boutiques etc Liaise with Nannies, nurses, personal staff, doctors, drivers and security both in UK and remotely Event planing in conjunction with wider team Handle bill payments (either using credit card provided or direct to relevant parties to be transferred) Calendar management and maintaining itineraries especially when the family are in residence. Set up meetings including finding venues, transportation of guests, forewarning security Communicate at a distance effectively with staff in main residence (India) including family office.
