The Executive Administrator plays a critical role in supporting the Directors and Senior Leadership Team (SLT) by facilitating key meetings, ensuring seamless coordination of business pillar meetings, and effectively managing follow-up actions. The role requires strong organisational skills, attention to detail, and the ability to liaise with stakeholders at all levels.
Key Responsibilities:
Meeting Coordination & Support
1. Organise and manage all meetings between Directors and Senior Leadership Team (SLT), ensuring agendas and supporting documents are prepared in advance.
2. Coordinate and facilitate Core Service meetings with Business Pillar Heads, ensuring smooth operations and communication.
3. Attend meetings to take accurate minutes and capture key actions, ensuring timely distribution to relevant stakeholders.
4. Track action points and follow up with responsible parties to ensure completion within agreed timelines.
Stakeholder Communication & Action Management
1. Act as the primary point of contact for Directors and SLT regarding meeting outcomes, ensuring clarity on action items and responsibilities.
2. Inform and update key stakeholders on decisions, progress, and pending actions resulting from meetings.
3. Work closely with department heads and business pillar leads to facilitate cross-functional collaboration and implementation of strategic initiatives.
Reporting & Documentation
1. Prepare concise reports, summaries, and presentations for Directors and SLT based on meeting discussions and decisions.
2. Maintain and update key records, ensuring all documentation is accurately filed and easily accessible.
3. Provide regular updates to the PA to CEOs, ensuring they are well-informed of meeting outcomes and pending actions.
General Administrative Support
1. Assist with diary management, scheduling, and logistical arrangements for Directors and SLT members as required.
2. Handle confidential and sensitive information with discretion and professionalism.
3. Support additional administrative tasks and business operations as needed.
Person Specification
Skills, Knowledge & Experience
1. Proven experience in an executive administration or senior administrative support role.
2. Strong ability to organise, coordinate, and support high-level meetings.
3. Excellent minute-taking and action-tracking skills.
4. Ability to prioritise and manage multiple tasks in a fast-paced environment.
5. Strong written and verbal communication skills, with the ability to engage with senior stakeholders.
6. High level of confidentiality and professionalism.
7. Experience working within a corporate or leadership team environment.
8. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and meeting management tools.
9. Knowledge of business operations and governance frameworks.
