Job Function: Personal Assistant to the Managing Director / Office Administrator (incl. HR & H&S)
Reporting to: The Managing Director

Duration: Permanent, full-time (Negotiable)

Location: Thame, Oxfordshire (free onsite parking). You must live within a commutable distance.
Description:
To assist and support the Managing Director (MD), general office administration, and HR / H&S functions. This role would suit a junior Personal Assistant looking for more experience and to take the next step in their career.
Person specification:
* We are a small, friendly team, so personality is key.
* You must be proficient in Microsoft Office (Outlook, Word & Excel).
* We are looking for someone reliable and enthusiastic with good interpersonal and communication skills.
* You must have a good command of the English language and a professional telephone manner.
* The right person will be practical and resourceful with efficient planning and organisational skills. Attention to detail and accuracy, the ability to multi-task, and prioritise are essential.
* You must have the legal right to live and work permanently in the UK.
Responsibilities:
* Managing the MD’s diary and coordination of the Shared Company Calendar, ensuring appointments and meetings are clearly defined and communicated at all times.
* Arranging meetings (in person and online), taking minutes, typing, and distribution.
* Arranging company travel, flights, accommodation, and visa applications.
* Answering and screening incoming telephone calls. Good communication skills are essential.
* Maintaining up-to-date HR files, coordinating annual leave records, arranging staff appraisals, maternity / paternity leave etc.
* Managing the recruitment process, producing employment contracts, and carrying out inductions for new staff members.
* Arranging staff training and maintaining training records.
* Keeping policies updated and maintained.
* Processing expenses, mileage claims, and managing petty cash.
* Ordering stationery and office supplies.
* Managing company vehicles, such as insurance, tax, MOT, TfL congestion charge etc.
* Managing the VOiP telephone system and telecoms / utility providers, including switching and renewals.
* Trademark registrations.
* Dealing with incoming and outgoing post / couriers.
* Managing subscriptions / memberships.
* Any other duties relevant to this role.
You may not have experience with everything on this list, but you must be willing to learn. Training will be given where required.
Skills:
* Online meeting platforms.
* Experience as a Personal Assistant is ideal; however, proven transferable skills from similar roles will be considered.
* Basic H&S knowledge.
