Senior Meeting & Events Coordinator (7-8 month FTC) Job ID 182800 Posted 06-Sep-2024 Service line Advisory Segment Role type Full-time Areas of Interest Customer Service Location(s) London - England - United Kingdom of Great Britain and Northern Ireland Role Purpose The Senior Meeting & Events Experience Coordinator oversees daily operations of meeting and events, ensuring a positive experience and high level of service for our clients. You will oversea all elements of event planning and managements and work alongside a team delivering services such as: moving, setting up and striking furniture, décor, removable walls and event equipment. Key Responsibilities -Take full ownership of event bookings from handover to delivery, identifying requirements and expectations to create a seamless experience -Regular checks and ownership of all event spaces, ensuring rooms are reset and all maintenance, cleaning or facilities issues are reported, followed up and resolved in a timely manner and to the highest standard -Manage all event set-up, tear down and resetting of spaces, including moving of furniture as appropriate, liaising with Catering, AV and Workplace Experience teams and stakeholders during the planning process to ensure everything is in order. -Work closely with Catering team to ensure quotations are accurate, within budget and signed off as appropriate to the correct business units. Ensure that any sign off is within agreed timelines for food and service delivery -Use the Condeco room reservation system to secure space and ensure event bookings are updated accurately and on-time with all relevant information for accurate cross charging. Ensure all events are uploaded onto the intranet correctly. -Use Condeco room reservation to ensure each space is being used in the most appropriate and efficient way. -Make needed adjustments to bookings and the team member's events to retain this efficiency. -Support events team with any administration as required including guest lists, name badges and managing merchandising stock. -Manage allocation of events to the respective event coordinator. -Manage team working hours schedule to ensure correct resources for the business needs of the day. -Support Meeting and Events Manager in daily management of team, events, processes and improvements to ways of working as assigned.
