Business Support Officer
Location: The designated office base is Abbey House, Abingdon. The councils operate in a truly flexible, and hybrid way where the focus is on outcomes not where you work. There is a requirement to attend Abbey House a minimum of 1 day a week.
Salary and grade: £32,367 per year, Grade 4 (as of 1 April 2025)

Job purpose

The post holder will require good interpersonal and organisational skills and have a genuine enthusiasm for a customer focussed service.
Main duties and responsibilities
General
• To provide business support across the service area, including working in Abbey House (or alternative council venue’s) at least two days per week.
• To ensure teams within the service are able to operate effectively through general administrative support of the highest quality, cooperation and efficiency
• To assist in the delivery of the objectives set out in service and improvement plans
• To provide business support for the head of service, service manager and team leaders, as directed
• To prioritise varied workload and complete various projects/tasks to meet appropriate deadlines
• To continuously seek opportunities to improve tasks, processes and procedures
• To undertake general and specific administrative duties aligned to the service area, including:
• respond to routine internal or customer enquiries by telephone, letter, email and in person, passing on more complex enquiries to the appropriate officer
• assist with the administration of the service’s budget, including the preparation, issuing and processing of POs, invoices, requisitions etc.
• maintain accurate data, such as software systems, spreadsheets, lists, databases etc.
• record, type and distribute minutes of meetings
• To produce and maintain procedures for tasks within the job role
• To support best practice and joint working arrangements
• The duties may vary from time to time without changing the nature of the post or the level of responsibility and the post holder may also be required to carry out any other duties appropriate to the grading of the post.
• Specific to this service
• To take accountability for expenditure from budgets across the team, liaising with suppliers to ensure that purchase orders, credit notes and invoices are dealt with in a timely and accurate manner
• To co-ordinate corporate returns on behalf of the team, such as quarterly budget monitoring and freedom of information requests
• To provide support to the head of service, service manager and team leaders with meeting requirements
• Supporting the service manager and team leaders in planning future opportunities for change and improvement.
About you
Your essential skills, knowledge and experience
• GCSEs in English Language and Maths (or equivalent qualification or level of experience)
• proven experience in administration and in budget management
• adept in the use of standard office systems, such as Outlook, Teams, Word, Excel and PowerPoint
If you have the following experience or qualifications – it’s a bonus
• Database and electronic file management experience
• Experience of using financial management systems
• Experience of dealing with internal and external customers and councillors.
