The role of the Sr. Office Administrator for our EMEA region is an essential part of the European Business team’s success; Directly managing 2 offices (Bracknell & Paris), responsible for the admin budgeting and forecasting, and supporting the team’s routines and meetings. This person will report directly to the EMEA General Manager. A Day in the Life Office Maintenance UK Bracknell & Paris offices; Admin budget management & monthly reforecast Management of UK corporate mobile phone flee and annual contracts, at corporate deals Computer and hardware maintenance & management Assist teams (like ordering team meeting lunches/organize & send samples ) Direct contact with serviced office agencies & management of associated contracts Weekly coding and processing all offices (inc. phone) invoices Management and ownership of all offices related issues, including moves when necessary Management of sustainability in the office HR & Team support Organizes routine for internal & external business meetings (Monthly IBP, Quarterly Partner Review) Process all legal contract to signature with US signatory (Contracts /Press Releases /NDA’s) Ad Hoc HR admin (such as Holiday tracker maintenance, France Lunch vouchers) Coordinate monthly meetings and when required trainings sessions Responsible for induction plan & meeting for new joiners and prior to arrival IT set up Organize 2x year team events Leadership & PA support Support meeting routines GM travel & monthly expenses claim and reconciliation Support senior leadership team visits (2 to 3 times/year), liaising with US-based EA’s Business Support Depending On Experience Coordination with US-based service provider (contact for consumer response enquiry not solved by US careline team.
