As a Pass Office Supervisor at Sodexo, based at HM Naval Base, Portsmouth, you will play a key role in supporting the Pass Office Manager with the day-to-day operations of the pass office. Your responsibilities will include processing and supervising temporary ID passes for visitors to the Portsmouth Naval Base, as well as managing the security application process for contractors and sub-contractors in line with MoD requirements. You will ensure that the highest level of security is maintained at all times while embracing the principles of Collaborative Business Relationships in alignment with Sodexo’s values and vision.
What you’ll do:
1. Process and supervise all temporary ID passes for the Naval base, ensuring relevant checks are carried out and naval base processes are strictly adhered to.
2. Greet all visitors in a friendly, polite, and professional manner, process all passes within fifteen minutes of the customer pulling their number.
3. Complete vetting applications and issue passes for all contracts requiring access to the Naval base within timescales detailed in the service standard.
4. Ensure the induction process and T cards are issued as required.
5. Book Chaperones via the company system.
6. Assist security colleagues with administrative tasks.
7. Raise any security concerns immediately with the authority personnel.
8. Ensure that personnel appearances are beyond reproach; strict adherence to uniform dress standards is to be maintained at all times.
9. Diligently take and hand over every duty shift ensuring that a full check of the daily occurrence and incident report books is carried out on each takeover of duty.
10. Comply with all Sodexo company policies/procedures and client site rules and regulations.
11. Support the manager of the pass office and cover during absence from the business.
12. Carry out any other reasonable tasks and/or instructions as directed by management.
13. Ensure staff records are accurately maintained and HR issues are dealt with appropriately and in accordance with legislation and company policy.
14. Liaise with the control room team with resourcing planned activities, reactive and ad hoc requests.
15. Visit sites across the region a minimum of 3 sites a week to conduct routine welfare visits for all staff throughout the area of responsibility.
16. Act as a first point of contact to address any issues that arise on site, from client or customer in a timely manner.
17. Carry out any other reasonable tasks and/or instructions as directed by line manager.
What you bring:
Essential:
* Must be able to demonstrate effective verbal and written communication.
* Able to work on own initiative and within a team environment.
* Able to demonstrate attention to detail and adherence to standards.
* Computer literate.
Desirable:
* Experience of working within a military environment.
* Proven experience in an administration role.
