As the Executive Assistant to the Chief Investment Officer (CIO) at Attivo Investments, you will play a pivotal role in providing comprehensive administrative, organisational, and logistical support.
You will be responsible for managing the CIO’s priorities, optimising time management, and ensuring seamless coordination across key functions. This includes scheduling and preparing for investment committee and board meetings by ensuring documentation is accurate, complete, and delivered on time. Acting as a key liaison between the CIO and the broader business, you will help track progress on critical deadlines and deliverables while providing regular updates.
Additionally, you will support the CIO in preparing investment performance reports and managing data collection for investment reviews. Discretion and professionalism are vital, as this role requires handling highly sensitive and confidential regulatory and client-related information.

About you:
You are an experienced and highly organised Executive Assistant or Personal Assistant, with a background in investment management. Your exceptional organisational skills enable you to coordinate complex schedules, manage multiple priorities, and maintain high levels of accuracy.
Proficient in Microsoft Office applications, including Word, PowerPoint, and Office 365, you are skilled at preparing professional documentation and correspondence. Your communication skills are excellent, with the ability to produce articulate, polished written materials and build effective working relationships across all levels of an organisation.
You thrive in a fast-paced environment, adeptly managing tasks such as scheduling and confirming meetings, coordinating travel arrangements, booking venues, and preparing detailed meeting materials. With a proactive approach, you effectively screen calls, manage inboxes, and ensure key information is appropriately tracked and filed.
Additionally, you bring a keen eye for detail when taking minutes and following up on action items from board and management meetings. Your discretion and professionalism are paramount, allowing you to handle sensitive, confidential information with the utmost integrity. Your ability to think ahead, anticipate needs, and stay composed under pressure makes you a valuable partner in driving the success of the CIO and broader business initiatives.
This role would allow the successful candidate to work in a hybrid capacity but the candidate may be required to travel to Attivo Investment offices (especially Cheltenham and London) to support the CIO and business needs.
Key Responsibilities include:
* Work directly with the CIO to support all aspects of their daily work routine and provide additional support to executive team members as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
* Manage professional scheduling for the CIO, including meetings, appointments, agendas, mail, email, phone calls, client management and travel logistics, including accommodation and meals. Exercise discretion in committing time and evaluating needs.
* Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
* Maintain professionalism and strict confidentiality with all matters.
* Organise team communications and plan events, both internal and off site.
* Provide an excellent service for CIO’s visitors, to create and maintain a professional and welcoming impression.
* Act as a first point of contact for all incoming calls for CIO in order to maximise relationships.
* Attend both internal and external meetings and take accurate minutes and inform the CIO of any outstanding actions.
* Liaise with other staff members to collate documentation and ensure CIO is thoroughly prepared for all meetings, providing a good impression to guests and attendees.
* Provide an ongoing excellent level of administrative support for business matters to ensure timely completion.
* Support the CIO in management investment-related activities, which include preparing investment performance reports, coordinating data collection, assisting with research and presentation materials and liaising with portfolio managers and external partners.
* Maintain an up-to-date filing system for compliance-related documentation.
Essential skills and experience
* Demonstrable knowledge and experience as a PA/EA in the Investment Management industry.
* Strong organisational skills and the ability to work with high accuracy while coordinating multiple projects concurrently.
* Proficiency in all Microsoft applications, including Word, PowerPoint, and O365 applications.
* Excellent communication skills, with the ability to write well-articulated documents.
* Ability to maintain confidentiality and handle sensitive issues professionally.
* Experience in a fast-paced environment, with the ability to multitask and prioritise daily workload.
Desirable skills and experience
* Educated to degree level would be an advantage.
* Experience working in financial services.
Salary and benefits
Up to £50,000 depending on experience.
