Taskmaster Resources Ltd are looking for an experienced PA/Executive Assistant for a 3 month fixed term contract at the University of Huddersfield. An immediate start is available. JOB DUTIES: 1. To work effectively as a member of the Executive Office to provide a timely and professional service that reflects positively on the School and SLT, demonstrating confidentiality and discretion at all times and working collaboratively to provide a seamless service to staff and external contacts. 2. To provide executive assistance as required by SLT, including the proactive management of high volume and complex inboxes and diaries, preparing, and managing incoming/outgoing communications, responding to complex non-standard enquiries, and resolving issues where possible. 3. To provide comprehensive administrative and project management support to members of SLT and wider senior teams in the School where required. 4. To develop and maintain strong working relationships with colleagues across the School and other high-profile offices, internally and externally, being a reliable first point of contact on behalf of the SLT member and dealing with enquiries on their behalf where possible. 5. To help oversee the day-to-day functioning of the Deans Executive Office,. 6. To support effective communication within the School, working with the School Leadership Team to ensure that timely information is made available to key stakeholders in an appropriate and accessible format. 7. To ensure that robust systems and processes are established, as relevant to the responsibilities of the role, both for the storage and retrieval of information, and to ensure that deadlines for action are met. 8. To participate in and/or contribute to relevant committees/working groups, including the delivery of briefings, drafting of papers and production of reports as required. 9. To plan and coordinate internal School events, such as Awaydays, Staff briefings, informal gatherings, social and celebratory events on behalf of the School Leadership Team. 10. To support School management activities through monitoring and maintaining compliance with University policies and procedures, providing procedural advice, information and guidance to others as required. 11. To act as meeting/committee secretary as required, including the drafting of agendas, collating and circulating papers, preparation of standard reports, production of concise and accurate minutes/notes, and recording and ensuring the timely follow up of actions. 12. To make/assist with the coordination of arrangements for high profile events, visiting delegations and honorary/higher doctorate graduates for the School, including the arrangement of social/procedural minders, celebratory dinners, gown hire and allocation of ceremonial duties. 13. To be responsible for ensuring the accuracy and completeness of relevant information on the Schools SharePoint site. 14. To observe confidentiality, judgement and discretion in all matters relating to the work of the Dean and School Leadership Team. 15. To proactively engage in personal development and maintain currency of knowledge and skills, maintaining high level digital skills to maximise the use of available technology. 16. To support and promote the University of Huddersfields values, working with colleagues to embed them as a way of working within the School. 17. To contribute to the efficient and effective operation of the School through: a professional, collegiate and customer-orientated approach to service delivery; positive participation at relevant meetings and working groups; continuous monitoring of the service provided at an operational level and making recommendations for improvement as appropriate; collaboration and liaison with external contacts, students, and colleagues throughout the School and University, acting as a point of contact where appropriate; and, the maintenance of an appropriate working knowledge of other areas of the team in order to provide cover and continuity of service as required. 18.
