ABOUT THE ROLE A varied and responsible position providing efficient administrative and secretarial support to a friendly team of ESG professionals who specialise in Surveys, Net Zero, Refurbishment and Developments. The nature of this role will be to assist them in managing their ongoing instructions from typing and formatting technical reports and spreadsheets, database administration and helping to assist in any client/consultant queries where necessary. The team in Bristol comprises of Chartered Building Surveyors and Sustainability Consultants who help advise clients on ESG matters and sustainable building practices for refurbishment and development projects. You will arrange and attend regular team meetings and be responsible for ensuring the ESG database is kept up to date, including setting up new jobs, processing invoices, chasing arrears and archiving past jobs. The role will require you to assist with information and data collation in support of whole life carbon assessments including accessing third party databases to obtain relevant data as well as requesting and managing performance data from third parties. WHAT MATTERS MOST IN THIS ROLE Building and maintaining good working relationships with colleagues, consultants and clients is paramount to your success. You will have the ability to multitask and experience working towards tight deadlines. You will regularly resolve a range of enquiries quickly and efficiently. You should have excellent time management and organisational skills not only in prioritising your work but also when arranging property inspections for the team and coordinating meetings. Accuracy and attention to detail is crucial, especially in the maintenance of our database, processing invoices and preparing reports and presentations to send to clients. Other duties will include: Maintaining the ESG database (QuickBase) including; entering new instruction details, processing invoice information, preparing reports from CSV file downloads, updating project data, managing instruction deadlines. Preparing client presentations using PowerPoint Arrears chasing with direct client contact Preparing a range of documents in to be issued electronically either in PDF, PowerPoint or PowerBI format. Wider involvement in our projects, providing support and taking ownership of certain roles or tasks. Salary Band £22,500 - £25,000 WHAT WE EXPECT FROM YOU You should have experience working in a busy and professional office. Working knowledge of Microsoft Word, Excel, PowerPoint, Teams and Sharepoint is required. Experience using formulas and data manipulation in Excel would be beneficial. A proactive, diligent, and positive approach to work is essential. Readiness to take responsibility, act on your own initiative, remain calm under pressure and be a competent multitasker. Excellent and professional communication skills with the ability to build professional and friendly relationships with colleagues, clients and contractors is paramount. An enthusiastic team player and willing to undertake extra duties and be flexible where required.
