JOB DESCRIPTION
Wood is currently recruiting for Client Administrators (contract) to work on our clients Middle Eastern Gas FEED project. The role provides general administrative support to the client team on the project. It will be working in our Reading office around 18-24 months.
RESPONSIBILITIES
1. Ensure that all members of the team have the security and network credentials that they need e.g. door access, network access, @client.woodplc.com email accounts, access to printing and maintain records of these.
2. Arrange for hardware and software as indicated in the contract (PC, desk telephone, MS Office etc.).
3. Pro-actively intercept/prevent client difficulties and problems.
4. Where required, and where it does not compromise the discretion of the Client Secretary role, provide cover or assistance to the Wood PA / Secretary.
5. Develop and maintain a good working relationship with Client's teams in their home office where this will be helpful to expedite responses.
6. Develop and maintain a good working relationship with the Wood PA / Secretary.
7. Request for help, advice and guidance on UK culture and services.
8. Diary management for the Client team.
9. Arrange meeting room bookings and hospitality.
10. Set up and maintain paper and network filing systems.
11. Collect and distribute received correspondence.
12. Meet and greet and the central point of contact for all visitors.
13. Prepare correspondence, minutes, procedures, presentations, reports, documents etc. where terms may be technical or complex; adjust spelling, punctuation and grammar as appropriate.
14. Combine material from a variety of sources in order to produce reports, and distribute as required / dictated by the Client.
15. Screen incoming telephone calls.
16. Create material required for presentations.
17. Organise and maintain stationery and sundry supplies.
18. Organise courier services.
19. Provide absence cover for Wood PA / Secretary as required.
QUALIFICATIONS
Qualifications:
Good previous experience in an administrative and client facing role is required. Prior experience of global mobility would also be beneficial.
