Job overview
We're looking for a highly motivated, enthusiastic and flexible individual with great interpersonal skills to join our Maternity Administrative team delivering our comprehensive service. As Appointment and Clinic Coordinator, you will be the first point of contact for women and pregnant people booking and attending their maternity appointments, ensuring that all referrals and appointments are handled appropriately.
Main duties of the job
You will be responsible for inputting and updating accurate patient details and episodes relating to Out Patient Maternity clinics run by UHSussex. This includes maintaining high quality data entry within the necessary timescales, demonstrating confidence and sensitivity in patient interactions, and managing your own workloads.

Main Duties and Responsibilities
Communication / Relationships
* Good communication and interpersonal skills to interact with tact and diplomacy with patients and staff at all levels.
* Ability to provide and receive complex, sensitive, or contentious information.
* Ability to engage in collaborative problem-solving with co-workers and staff.
* Ability to exercise discretion to ensure patient confidentiality is maintained.
* Ability to maintain composure and efficiency during periods of peak workload.
Planning / Organisation
* Plan, organise, prioritise, and accomplish a variety of concurrent assignments effectively.
* Remain flexible and adaptable to alterations in policies and procedures.
* Problem-solving skills to assess situations and implement viable solutions.
IT/Data Input
* Establish working knowledge of procedures and practices, including medical records systems.
* Ability to use computer-based systems to enter patient information and schedule appointments.
* Input patient information accurately to ensure Trust receives payment for maternity pathways.
KEY RESPONSIBILITIES
Appointments
* Receive and register referrals on the Trust's Patient Access System (PAS).
* Ensure referrals are processed and relevant information is passed to the appropriate consultant.
* Provide a friendly, patient-focused service for appointment enquiries.
Clinic Preparation
* Check scheduled clinics to identify late add-ons.
* Arrange ad-hoc clinics and liaise with the Maternity Admin Team Supervisor.
Reception Duties
* Greet patients courteously and confirm demographic details.
* Inform patients of approximate clinic waiting times.
General
* Complete all clinic outcomes coding information on PAS.
* Record all case note movements on PAS.
Person specification
Qualifications
* GCSEs (A-C) or equivalent, including English and Maths.
* Educated to at least NVQ Level 3 or equivalent level of competency.
Experience
* One to two years previous experience working in office/administration.
* General knowledge of Microsoft PC packages is essential.
Skills
* Able to build rapport with clinical, admin & clerical, and managerial teams.
* Clear written and verbal communication and interpersonal skills.
People Management and Development
* Self-motivated and able to work using own initiative.
* Effective organisational skills and prioritising skills.
