HR Assistant - Martin Audio

The Role:
The HR Assistant will be responsible for dealing with queries around employee matters, compensation and benefits, rewards, career development, training, on-boarding, off-boarding, performance management, and Health and Safety.
Key Responsibilities:
* Collaborate with the HR Manager in implementing the HR policies and practices required for employees on various sites
* Offer practical HR information and guidance to employees to enable them to work effectively
* Assist the HR manager with benefits renewals, health and safety training requirements or compliance training required as well as track training accordingly
* Provide administrative support in general and data entry when required along with reports required for HR Metrics monthly
* Support the HR Manager with maintenance of the HR systems or any systems/platforms used by keeping all information up-to-date
Summary of Responsibilities:
HR policies and documentation management
* Help HR Manager to keep up-to-date with current legislations, update current HR policies, HR Forms, Employee Handbook
Employees support
* Support HR Manager with notes and administrative tasks required to carry out Employee Relations meetings and processes such as discipliniaries, performance improvement plans
* Ensure that Driving Licence and Right to Work data is kept up to date on the HR system and flag to Line Managers and HR Manager any requirements for copies of new documentation or any compliance issues related to immigration requirements
* Assist the HR Manager with reports to provide the management about sickness absence, holidays for example or HR management on a monthly or quarterly basis
* Assist HR manager with employee cycles activities such as probationary meetings, check in support, benefits information meetings
* Join the HR manager on site visits to build strong relationships with employees and Line managers onsite
Pay and Benefits
* Provide the HR Manager with assistance with pay reviews, benchmarking, bonus cycle, providing accordingly letters when required to employees
* Support HR Manager with benefit suppliers’ communication and addition of employees with Benefits providers
* Help the HR Manager with on-boarding and off-boarding processes creating administrative documents accordingly liaising with various internal departments when required.
Diversity and Inclusion:
* Work together with the HR Manager on communication and organisation of Diversity and Inclusion initiatives through the year
Recruitment & retention:
* Produce offer letters, contracts, contractors documentation, right to work checks and references request.
HR Administration
* Identify and collaborate on any improvements of HR Processes or requirements for HR Forms or documents to ensure it’s more user friendly.
* Support HR Manager with developing and maintaining various employees Systems
* Log when required sickness absence, holidays or various other absence on the HR system whenever required
Health and Safety
* Support HR Manager with tracking of actions and progress of actions following Health and Safety audits on various sites.
* Draft notes of quarterly First Aiders/Fire Wardens meetings and actions plans agreed
* Work with the HR Manager on the organisation of Health surveillance checks yearly
Other
* Responsible for regular filing of HR documentation, including saving documents on the HR drive and reviews of HR information held on HR drive as per current GDPR
* Support HR Manager with any future acquisitions by providing data/documentation to facilitate the transition of employees and the implementation of aligned benefits/terms and conditions.
* Work with the HR Manager to organise/coordinate activities for employees through the year
Skills and experience required:
* Professional qualification in Human Resources e.g. CIPD Level 3
* Previous experience in an HR role, working in a manufacturing environment
* Understanding of Employee Relations, Payroll and Benefits, Learning and Development, Diversity and Inclusion
* Strong organisational skills with the ability to handle multiple tasks and prioritise effectively
* Excellent communication and interpersonal skills, fostering a welcoming and inclusive work environment
* High attention to detail, approachable and ability to maintain confidentiality.
Job Conditions:
This is a full-time position of 37.5 hours per week over the standard working hours of 8.45am to 5.30pm Monday to Thursday and 8.45am to 4pm on Friday. An hour is allowed for lunch Monday to Thursday and 45 minutes on Friday.
