Building on our continued growth and recent contract awards we are seeking an enthusiastic, committed, and experienced person to join our Highland Building team as Office Administrator to provide a general administration service for our Highland Business Regional Office. \n\nOverview\n\nThe Office Administrator plays a crucial role in ensuring the smooth operation of our office. This position requires a pro-active individual who is ready to assist with various administrative tasks, maintain an orderly environment, and provide support to both staff and visitors. They will be responsible for several key duties that contribute to the efficient functioning of our business operations by supporting. As part of this role the successful candidate will work towards a Business and Administration SCQF 6 qualification. Key Responsibilities\n\nâ¢\tProvide reception support, including answering phones, taking messages, and assisting staff and visitors.\nâ¢\tSign in visitors and ensure a welcoming atmosphere.\nâ¢\tManage incoming and outgoing mail and couriers efficiently.\nâ¢\tAssist with various administrative tasks to support office operations, such as typing, photocopying, scanning, printing of documents.\nâ¢\tArrange travel and accommodations as needed for staff and management.\nâ¢\tSchedule & book meetings and trainings.\nâ¢\tArrange tea/coffee and lunches as required for meetings/events.\nâ¢\tMaintain and update the company's databases, including active project lists, CI Live Sites & Building Understanding records.\nâ¢\tProvide coverage for staff during holidays to ensure uninterrupted office operations.\nâ¢\tEnsure the office environment is clean and organized.\nâ¢\tCheck for photocopiers for paper levels, toner, and any error messages displayed on the machine.\nâ¢\tEnsure welfare & office refreshment are topped-up and available to staff.\nâ¢\tConduct weekly Legionella checks and fire alarm tests.\nâ¢\tRegularly check and maintenance of First Aid Box and Emergency Lights.\n Key Skills Required\nâ¢\tStrong organisational skills and diligence.\nâ¢\tAbility to multitask and manage time effectively.\nâ¢\tExcellent communication skills, both verbal and written.\nâ¢\tProficiency in Microsoft Office Suite (Word, Excel, Outlook).\nâ¢\tFriendly, professional manner with a customer-service orientation.\nWork Environment\nâ¢\tThis role is primarily based in an office environment.\n
