Role Description This is a great opportunity for a Facilities Administrator to join a busy yet supportive team based in Reading. As part of this role you will support the Facilities Management activities and assigned tasks, along with some Reception duties. We're looking for someone who’s confident, organised, and proactive, but most importantly, a team player. We work closely across teams, so excellent communication and attention to detail really matter. As part of the nature of the role you will be required to attend to the office 5 days a week. Experience/ Attributes required Strong verbal and written communication skills Excellent attention to detail Work effectively in a team and on your own Professional and courteous approach to work Work type: Scan incoming post and file it into the relevant practice group folders. Print and collate outgoing post from practice groups for dispatch via Royal Mail. Assist fee earners with document scanning. Assist teams with printing legal documents. Ensure facilities supplies (e.g., toners, labels, envelopes) are ordered as needed. Distribute the group's stationery. Maintain printed stationery stocks at designated facilities points. Ensure all equipment is well-maintained. Report any required repairs to the Facilities Manager for approval and engineer call-out. Ensure project rooms are stocked with pads and pens. Answer general facilities queries. Retrieve deeds, wills, and files from storage as requested. Assist with booking staff into the office and allocating parking. Meet and greet clients for lawyers, show them to meeting rooms, and ensure they are looked after. Answer Reception calls promptly and professionally. Assist with set-up and clear-up of client events. Ensure meeting rooms are kept tidy. Destroy archived files in line with the firm's destruction policy. Prepare files for court – photocopying files and documents. Assist with IT queries related to hardware (e.g., screens, keyboards, docks). Assist with setting up IT kits for new joiners. From time to time, you may be required to perform other duties than those detailed above to be actioned and/or completed.
