Willmott Dixon are currently recruiting for a Receptionist / Administrator to join our London & East construction business. Based in Hitchin, Hertfordshire, we deliver construction projects across multiple sectors within north London, the northern home counties and East Anglia. This is a 12 month fixed term contract role.
This unique dual role will involve working on the office reception on a Monday and Tuesday (8am to 5pm) and also on a Wednesday morning (8am to 12.30pm). You will then work as a part of the administration support team for the remaining half of the week (working hours on Thursday and Friday will be 9am to 5.30pm). The role will need to be fully office based initially, but there may be some scope to do 1 day a week remotely (on a Thursday or Friday) as time goes by.
The Role
Duties within the Receptionist role will include:
* Answering incoming calls in a timely fashion, connecting callers to the appropriate person or contact details given, taking accurate messages.
* As a key contact, you will go out of your way to find the answer and respond to a customer query (internal and external) in a professional manner, with any issues escalated in a timely manner to the relevant line manager.
* Responsibility for the meeting room booking system and ensure full understanding of all meeting requirement requests.
* Ensuring all meeting rooms are serviced correctly i.e., catering/AV/room set up is correct and tidied before a meeting takes place.
* Responsibility for incoming and outgoing mail and ensure that we have the correct level of credit.
* Ensuring all office equipment is in working order and supply levels maintained.
* Providing support for any office management duties.
* Keeping lists up to date (such as site/phone lists/sign in and out systems/fire drills) and upload promptly to relevant platforms.
Duties within the Administration Coordinator role will include:
Administrative Support:
* Assisting the admin team and other relevant staff with administrative tasks.
* Scheduling and coordinating meetings, appointments, and travel arrangements which includes booking of hotels and train tickets.
* Preparing and editing correspondence, reports, and presentations, ensuring all relevant databases are kept up to date.
* Attending meetings when required and minute taking, ensuring all meeting packs are issued ahead of the meeting.
* Proactively assisting in the planning and execution of company projects when necessary.
* Extensive diary management.
* Occasional receptionist cover.
* Responding to Customer queries in a positive and timely manner.
* Understanding MS Office and a willingness to learn company software databases when required.
Record Keeping:
* Managing physical and electronic files and records.
* Ensuring compliance with company policies.
* Maintaining confidentiality of sensitive information.
Essential and Desirable Criteria
Skills, Qualifications and Memberships
* Previous experience in an administrative, receptionist or coordinator role.
* Confident communicator and customer service focused.
* Proficient use of Microsoft Office; inc. Excel, Word, Outlook and PowerPoint.
* NVQ Level 3 qualification or equivalent.
* Professional certifications such as Certified Administrative Professional (CAP).

* The role may require occasional travel for meetings, events, or training sessions.
* The job can involve interacting with various departments and levels of staff within the organisation, as well as external partners or clients.
