We are seeking a detail-oriented Head of Document Management to oversee the governance, management and continuous improvement in managing our digital data and documentation within Skanska UK. You will be responsible for developing and implementing effective digital information and document control procedures, ensuring compliance with construction industry standards and regulations.
This role is critical to the future success of the business. Your expertise will contribute to the organization and accessibility of critical project documentation, enabling legal compliance, effective claims management, seamless collaboration and efficient construction operations.
What you’ll do:
* Formulate and execute strategies for effective digital data and document management aligned with organisational goals.
* Collaborate with relevant stakeholders, across all areas of the business, to understand specific document control requirements.
* Establish and communicate policies, procedures, guidance, templates and standards for digital data governance, security, and compliance, tailored to the construction sector to ensure consistency and compliance with industry standards and regulatory requirements.
* Ensure all digital data management practices comply with relevant regulations (e.g., GDPR) and industry standards.
* Produce and implement transition plan to digital storage for documentation with appropriate priorities.
* Continuously review and optimise processes for storing, accessing, sharing, and archiving digital documents.
* Stay updated on industry trends and best practices in construction document control to enhance the company's processes continually.
* Develop training programs to ensure staff are proficient in using document management systems and adhering to best practices.
* Implement quality control measures to ensure the accuracy, integrity, and reliability of digital data.
* Work with IT team to approve necessary systems to enable robust document security measures and safeguard sensitive construction data.
What you’ll bring to the role:
* Bachelor’s degree in construction management, civil engineering, information management, or a related field.
* Experience in document control within the construction sector, with a track record of effectively managing construction-related documents.
* Knowledge of construction industry standards and regulations related to document control and records management.
* Familiarity with construction-specific document management systems and related software.
* Outstanding communication and interpersonal skills, facilitating collaboration with diverse construction teams and stakeholders.
* Able to work proactively and autonomously.
* Ability to lead, train, and provide assurance, fostering a culture of continuous improvement.
* Strong problem-solving skills and the ability to prioritize tasks.
* Familiarity with electronic document control systems and data management best practices in the construction industry.
