Purpose To manage and organise the smooth running of the facilities, reception area and office environment. To provide secretarial support to Advisors. Ensuring high standards are maintained according to current Health & Safety regulations. Ensuring high levels of organisational skills, communication and safety for all staff and visitors at all times. Main Responsibilities Greeting clients, external visitors and colleagues to the office. Responsible for assessing risks in the office environment as per Health & Safety Regulation Manage meeting room bookings and co-ordinate meetings with external visitors and EWM colleagues. Manage the reception area and be the first point of contact for visitors to the office. Answering the main switchboard inbound telephone calls to the Eastcote Wealth Management standard and quickly identify the callers requirements. Act as first aider and fire warden, in accordance with regulation and maintain the first aid supplies. Responsible for any incoming and outgoing postal responsibilities. Ensure the office is compliant in regard to recycling/WEEE in line with the WestMidlands regulations and the Groups sustainability objectives. Maintain supplier contact records. Monitor usage of office equipment and supplies, and order replacements in accordance with finance authorisation procedures. Provide client administration support. Liaise with the Accounts department regarding payment of supplier invoices. Update the diary system with future tasks / activities to be completed Set up and set down of all meeting rooms for external meetings, to include refreshments (tea/coffee/water and biscuits). Knowledge: Excellent organisational, time management and administrative skills. Competent in using Microsoft Word, Excel and Outlook. Knowledge of office health and safety regulations is essential. Knowledge of Financial Services would be beneficial, but not essential. Education: Educated to GCSE Level of equivalent (essential). Hospitality / Customer Services qualifications (desirable). First Aid at Work training (desirable). Skills / Experience: Ability to provide 5-star service, presenting the professional image of the Company. Previous experience of office management is essential. Committed team player with excellent oral and written communication skills; ability to communicate effectively at all levels.
