We are seeking a highly organised and detail-oriented Administrator to join our dynamic team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing essential administrative support. Responsibilities:
Project Coordination:
* Coordinate with electricians, contractors, and clients to schedule electrical work and inspections.
* Track project timelines to ensure timely completion of electrical installations, repairs, and maintenance.
* Assist in the planning and allocation of resources, including labour and materials, for domestic electrical projects.
Documentation and Compliance:
* Maintain accurate records of electrical certificates, permits, and other regulatory documentation.
* Ensure all electrical work complies with local safety regulations, building codes, and industry standards.
* Prepare and submit compliance reports for inspections and audits.
Client Communication:
* Act as the primary point of contact for homeowners and clients, addressing inquiries and providing updates on the status of ongoing electrical projects.
* Manage customer service inquiries, complaints, and requests for additional work.
* Communicate job progress, scheduling changes, and any potential delays to clients.
Administrative Support:
* Handle administrative tasks such as invoicing, processing payments, and tracking expenses.
* Manage supply chain logistics, including ordering electrical parts and materials.
* Update and maintain project management systems, ensuring all data is current and accurate.
Team Support:
* Assist the electrical team by organizing schedules, managing timesheets, and ensuring that electricians are aware of job requirements and timelines.
* Coordinate with other departments such as finance, HR, and procurement to streamline workflows.
Experience
* Technical Knowledge: Basic understanding of domestic electrical systems and terminology.
* Organizational Skills: Ability to manage multiple tasks, prioritize work, and meet deadlines.
* Communication Skills: Strong written and verbal communication skills to liaise with clients, electricians, and regulatory bodies.
* IT Proficiency: Familiarity with project management software, Microsoft Office, and database systems.
* Attention to Detail: High level of accuracy in record-keeping, reporting, and compliance checks.
* Problem-Solving: Ability to troubleshoot scheduling issues, material shortages, and client concerns.
High school diploma or equivalent (essential).
* Certification or training in electrical administration or project management (preferred but not required).
* Previous experience in an administrative role within the electrical or construction industry is essential.
