The Role
We are seeking an organised, detail-oriented, and proactive Project Coordinator & Executive Support to assist the CEO and Executive Management Committee (EMC) in the successful delivery of key projects. This role is essential for ensuring smooth operations across multiple initiatives, aligning with Sheffield Haworth’s overall strategic vision. We are looking for an individual who excels in communication, administration, and follow-through. The individual will assist in planning, tracking, and managing tasks while also providing high-level administrative support, including calendar management, minute-taking, and stakeholder coordination.
Core Responsibilities
Project Coordination
1. Assist the CEO and EMC in managing and tracking progress on various projects.
2. Ensure timely follow-up on action items, project milestones, and deliverables.
3. Coordinate cross-functional teams to ensure clear communication and alignment on project objectives and strategic vision.
4. Maintain project documentation, including timelines, task lists, and reports.
5. Proactively track and follow up on outstanding tasks and action items from meetings and project updates.
6. Ensure deadlines are met, and escalate potential delays or issues as needed.
Executive Support
1. Manage complex calendars, scheduling meetings, and appointments for the CEO and executive team.
2. Prepare and distribute meeting agendas, materials, and presentations.
3. Record accurate and concise meeting minutes, and distribute them to relevant stakeholders.
4. Handle sensitive and confidential information with the utmost discretion.
Communication
1. Act as a point of contact between the CEO, executive team and internal/external stakeholders, facilitating effective communication.
2. Draft clear and professional correspondence, reports, and other written materials.

Skills & Experience
1. Experience in a project coordination in an administrative capacity, preferably supporting senior executives.
2. Strong written and verbal communication skills.
3. Exceptional organisational skills and attention to detail.
4. Proficiency in Microsoft Office.
5. Ability to handle multiple projects simultaneously and prioritise tasks effectively, ability to keep calm under pressure.
6. Strong interpersonal skills with the ability to interact professionally with senior management and external partners.
7. High level of discretion and ability to maintain confidentiality.
