Description:
We are a third-party property management firm based north of Boston, managing suburban office, industrial, retail, and medical properties. Our property managers are responsible for all aspects of property operations within their portfolio, including day-to-day operations, tenant and owner communications, vendor management, lease administration, lease coordination, construction, leasing, and financial management. Our PMs get involved in leasing, construction, operations, and all financial aspects of operating commercial properties.
Reporting directly to the President, the Property Manager will oversee a portfolio of commercial assets. The PM will work to maximize the return on investment dollars, maintain effective operations, and ensure the properties run at the established levels of protection, care, and maintenance.
RESPONSIBILITIES OF THIS POSITION:
1. Maintain relationships with all stakeholders to ensure strategy is executed as established.
2. Bid and negotiate all property-level service contracts (i.e., snow plowing, landscaping, fire alarm testing, elevator R&M, HVAC R&M, etc.).
3. Review and approve expenses.
4. Coordinate and execute all tenant improvement projects and capital projects.
5. Inspect assigned properties regularly to ensure proper maintenance and service levels.
6. Identify physical improvements and deficiencies and correct them in accordance with budget guidelines and established property standards.
7. Ensure timely rent payments. Issue late notices, negotiate payment plans with delinquent tenants, and initiate collection proceedings as needed.
8. Motivate team members and contractors by reinforcing the vision and business goals for the property.
9. Manage resources: contain expenses, allocate workload, schedule, and prioritize work.
10. Negotiate or support negotiation of leases, license agreements, contracts, and amendments.
11. Coordinate with and provide support to new tenants.
12. Ensure tenant adherence to lease obligations.
13. Ensure that all services to tenants are prompt and issues are effectively resolved timely.
14. Maintain outstanding property appearance.
15. Oversee the in-house maintenance crew assigned to the properties to ensure the buildings are maintained properly.
16. Oversee work and implement controls to ensure effective contractor performance, safety, and compliance with contract terms and property rules.
17. Project needs for capital improvements. Monitor and manage capital expenses. Solicit and analyze proposals for capital projects.
18. Make certain comprehensive plans are in place to instruct tenants and the property management team on how to prepare for and respond to emergencies of all types. Periodically check to see that emergency action plans are current.
19. Minimize the risk of exposure to liability by enforcing compliance with guidelines, regulations, and policies. Identify and deal with safety hazards.
20. Prepare the annual operating budgets with meticulous attention. The PM is responsible for properly budgeting for all rental income, CAM/taxes, operating expenses, insurance, capital, and debt.
21. Work closely with the accounting team to ensure the monthly financial package is completed on time.
22. Review financial reports, forecast expenses, and report to the Owner of any significant variances.
23. Fulfill other job-related duties as assigned.
QUALIFICATIONS:
1. Bachelor’s degree in business, finance, or other relevant field of study is required.
2. Advanced Excel and Word skills required.
3. An understanding of accounting principles is required.
4. Minimum five years of experience as a Property Manager of office, retail, and industrial properties.
5. Strong understanding of financial objectives including preparing annual operating and capital budgets, collecting rents, paying bills, forecasting, analyzing variances, and initiating corrective action.
6. Demonstrated success with construction management, including both tenant improvements and capital project work.
7. Demonstrated ability as a leader and manager.
8. In-depth knowledge of property operations, risk management, fiduciary duty, life safety, financial management, lease administration, community and government relations, service contracts, and tenant construction.
