A well-established stockist and distributor of electrical components is seeking a Administrator to join their team. The Administrator will play a key role to offer precise and prompt assistance in managing export order processing while supporting the accounts team.
This is a Part Time position Monday to Friday from 9:00 am till 1:00 pm.
Administrator responsibilities:
* Prepare export invoices and arrange online bookings with couriers like FedEx, DHL, and UPS.
* Calculate carriage charges and provide carriage quotes for the Sales Team when needed.
* Send proforma invoices, create payment links, and forward invoices and tracking details to customers.
* Keep the export procedure manual up-to-date.
* Handle scanning, filing, and general administrative tasks.
* Assist the accounts team with tasks such as verifying supplier invoices, entering them into the system, setting up new sales and supplier accounts, and answering calls during busy times.
* Provide cover during staff absences.
* Perform other administrative duties as required to ensure the smooth running of the department.
Skills & experience required:
* Previous export experience is beneficial but not required.
* Confident in using Microsoft Excel at an intermediate level and proficient with general computer systems.
* Numerate, with experience in an accounts or finance department of a medium-sized business preferred.
* Strong communication skills, able to interact effectively with individuals at all levels.
* Organized, methodical, and detail-oriented, ensuring tasks are completed accurately and efficiently.
* Flexible and adaptable, with the ability to handle change positively.
* Capable of working to deadlines and maintaining performance under pressure.
* Problem-solving mindset with the initiative to address challenges independently.
* Team-oriented and collaborative, contributing effectively to group efforts.
