Our professional client is seeking a Legal Secretary to work in their Epsom office. The ideal Legal Secretary will provide essential administrative support and ensure the smooth operation of the Law office. The right candidate will have strong organisational skills, attention to detail, and the ability to work under pressure in a fast-paced environment. Key Responsibilities:
1. To work for the Private Client solicitors in conjunction with other PA/secretaries.
2. Prepare correspondence and documents through audiotyping and word processing.
3. Prepare documents and support with a range of duties which will include daily filing and the opening, closing, storage and retrieval of confidential documentation.
4. Prepare mail and enclosures for dispatch and arrange for all copying to be done in person.
5. Make appointments, arrange meetings and maintain an up-to-date diary for the team.
6. Prepare meeting rooms as necessary.
7. Provide support to other secretaries as required.
8. Provide guidance to the junior and temporary secretaries when required to do so.
9. Provide front of house duties to visitors both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with standards of professionalism.
10. Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
11. Ensure the confidentiality of all the company and clients' documentation and information.
12. Undertake on-line form filling requirements.
13. Operate the in-house database/system.
14. Maintain or improve the current standards of document presentation.
15. Consider improvements to the efficiency of the department.
16. Undertake other duties as from time to time required.
Experience and Skills Requirements:
1. Previous experience as a Legal Secretary preferably within Private Client.
2. Good IT skills in relevant packages.
3. High level of accuracy.
4. Communicate professionally with clients both on the telephone and personally.
5. Provides good customer care.
6. Demonstrates a pro-active approach to work and clients.
7. Progresses client matters with minimal supervision.
8. Takes on other tasks.
9. Demonstrates ability and willingness to work to deadlines, to cope under pressure, use initiative, prioritise workloads effectively and work as part of a team.
10. Demonstrates clear commitment to the firm and a genuine interest in legal work.
11. Has a good attendance record year on year.
12. Demonstrates a positive attitude.
