About the team
This role works with and reports directly to Hermann, Gigs Co-Founder and CEO, and closely liaises with Founder’s Office and executive leadership on a daily basis to optimize Hermann’s productivity across internal and external stakeholders.
What you’ll do
Gigs is looking for a strategic, highly adaptable Executive Assistant to serve as a trusted partner to Hermann, our Co-Founder & CEO. As our first EA hire, you won’t just manage tasks—you’ll help shape this function from the ground up, creating structure in a fast-moving, ever-changing environment.
This role is not for someone looking for a standard administrative job. You’ll need to move at startup speed, anticipate needs before they arise, and ensure Hermann is operating at peak efficiency. Your ability to navigate ambiguity, manage shifting priorities, and keep things running seamlessly will be essential to both his success and the company’s.
Responsibilities
* Own and Optimize Time Across International Time Zones
Seamlessly manage and optimize Hermann’s calendar across multiple time zones, ensuring meetings, one-on-ones, interviews, and external touchpoints are scheduled with precision and productivity in-mind. Your role is to maximize his impact and minimize inefficiencies.
* Anticipate and Bridge Context Switching
Operating at a founder’s level means switching between wildly different priorities—fundraising, hiring, product strategy, partnerships—often in the same hour. You’ll ensure he’s always two steps ahead, prepped with the right context, materials, and insights for each interaction.
* Channel Fast-Moving Priorities: Ensure their time is spent on the highest priority issues, shifting non-pressing engagements and to-dos to accommodate, and communicating changes in a thoughtful manner. Help Founders delegate as priorities are managed. Proactively seek solutions to help internal teams unblock and do their best work.
* Organizational Oversight: Organize domestic and international travel, events, and leadership team offsite. On behalf of the CEO, organize leadership and coordinate with executive staff on scheduling, conferences, and event planning.
* Master the Art of Communication: You’ll have a direct influence on the communication and credibility of the CEO/Founders both internally and externally and will master the art of intentional communication to drive engage and drive towards business results.
