Based in central London, Big Sky comprises 15 studios and stages, spanning 75,000 sq ft over 5 different sites offering traditional white coves, green screens, blank canvases, virtual production suites with green screen and LED walls alongside a unique rooftop studio with undisturbed London Skyline views. To enable our spaces, we offer in-house services of lighting, digital, catering, set-build and post production, alongside a full service ecom and social content agency and a creative tech / future of content innovation lab.
ROLE OVERVIEW
This role is responsible for proactively ensuring the organisation has the most suitable working environment for its employees and clients. The role will cover multiple sites and as a hands-on role, knowledge of building maintenance is essential. Aspects of out of hours and weekend work will be required.
REPORTING
The role will report into the Facilities and Buildings Operations Manager.
KEY RESPONSIBILITIES
Duties will include, but are not limited to:
* Under the direction of the F&BO Manager, project manage and coordinate (minor or major) maintenance or repairs ensuring minimal disruption to clients or building operations - meeting strict SLA’s
* Supporting the F&BO Manager with the administration of budgets, and comparing costs for efficiencies
* Working closely with and supporting the Maintenance Technician
* Promote good H&S practice and risk management across the business
* Bi-weekly meetings with operational heads of department to understand and troubleshoot on-going issues or upcoming needs
* Provide follow up reports to the F&BO manager
* Proactively update all relevant departments on upcoming or ongoing issues
* Action and administrate a facilities manual containing all necessary routine schedules, contacts, contractors, internal processes ensuring all is in line with current H&S legislation
* Outsourced PPM (whilst relevant):
* Liaising with the H&S consultant
* Coordinating or supervising contractors when on-site for inspections or works
* Ensure safe working practices are maintained at all times and that licences and certifications relating to facilities, property and fabric repair are in place at all times.
* Responding appropriately to urgent issues as they arise and manage effectively
* Proactively audit all sites to identify and seek to resolve potential defects or problems, reporting back to the F&BO Manager for support
* Plan and oversee monthly drain cleans/ gullies for all sites
* Responsible for carrying out risks assessments in line with HSE
* Cleaning: support the cleaning team - reporting quality issues and ensuring feedback is received by the necessary manager
* Meet the cleaning manager twice monthly to understand any logistical concerns and help troubleshoot
* Report back to the F&BO Manager
* Maintaining stock of all necessary cleaning products across all sites
* Health & Safety, ensuring all employees and sites meet H&S requirements that comply with legislation:
* Organise routine staff training: fire marshals, first aid, manual handling, IDAF powered access (scissor lift) - engaging with external providers where necessary ensuring costs are managed within budgets
* Ensure all records are maintained in conjunction with HR for the purpose of employee data
* Quarterly fire extinguisher checks
* Actioning & recording weekly fire alarm checks
* Actioning & recording monthly emergency light checks
* Develop and implement emergency plans including quarterly fire drill checks
* Maintaining the log book for premises inspections
* Recording the meter readings for all sites each month
* Ordering and maintaining stock for utilities or electrics (bulb replacement)
* Coordinating all waste which includes but not limited to daily site cleaning, waste collection, PEST control, skip hire and kitchen hygiene
* in event of an emergency situation, ensure all safety processes have been followed, provide immediate assistance as required, and carry out thorough reporting afterwards.
* Maintain accurate records of incidents, inspections, maintenance activities, and service reports. Prepare regular reports on FM related metrics and KPIs.
* Other duties as necessary based on the changing needs of the business.
QUALIFICATIONS
* Essential - Recognised qualifications in Facilities Management i.e.: IWFM, IOSH or NEBOSH
* Essential - Recognised H&S qualifications
* Essential - Recognised First Aid Certifications
* Essential - Clean UK driving licence
ESSENTIAL SKILLS
* A multi-skilled background with experience in facilities management, contractor management, project management or building management in specific or related industries
* Reliability to commute to premises (North/ Central London)
* Proactive and positive attitude
