Vitaflo International Ltd are currently looking to recruit a Receptionist on a 12 months fixed term contract to be based in our head office based on the outskirts of Liverpool City Centre (near Brunswick Business Park). You will report directly to the Office Facilities Manager and your hours of work be 34 hours per week on a alternating rota basis between 08:00am to 17:00pm (Monday to Friday) Key Responsibilities: Meet and greet visitors and contractors, assisting with signing in, issuing security passes and contacting their host. Any staff who have forgotten or lost their pass, issue with a temporary security pass, fill in the relevant documentation. Weekly check that all temporary security passes have been handed back in, if not contact the member of staff/contractor or visitor. Answering telephone and diverting calls to relevant department ie customer services, pharmacy. Checking Emails personal, reception and the main Vitaflo email inbox and sending over to the relevant point of contact Dealing with webforms and responding where necessary. Checking supplies for Stationery, Tea, Coffee, Sugar for South Harrington & Glacier and raising POs for stock when required. Raising POs which have been requested by Office/Facilities Manager, DSE, Uniform, Stationary Meet & Greet New Starters follow up with Welcome Email, updating Vehicle Registration onto spreadsheet, issuing Vehicle Pass, Taking Photo for Security Pass, Updating Security Pass with correct access level on NT500 Removing any leavers from NT500 and collecting their Security Pass Receiving and notifying staff of deliveries, entering onto spreadsheet and updating when collected Post both incoming and outgoing Checking Meeting Rooms/Set Up ie jugs water/glasses/flipcharts etc Completing lunch orders for meetings Key Skills and Experience: Good IT skills Ability to work in a fast paste environment Experience of handling and resolving customer and staff enquiries Able to demonstrate strong communication skills Experience of accurately inputting information onto a database A strong team player A hands-on, caring approach Excellent customer service skills What we offer?
