Job Summary
To provide clerical and administrative support in the ENT and Audiology Department supporting the admin team.
Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.
Main Duties of the Job
1. Assist teams with sending letters to patients, GPs and other health professionals.
2. Book appointments and review waiting lists under the guidance of the admin team.
3. Assist the reception team and admin team by adding waiting lists.
4. Photocopying and filing.
5. Work as part of the ENT and Audiology reception team, which on occasions will require covering reception alone during lunch breaks and sickness (support will be available).
6. Engage in conversations with nurses, clinicians, audiologists, and patients during clinic.
7. Print off 2 week wait referrals and deliver to the outpatient nurse manager for triage and update tracking system of referrals.
8. Collect patient case notes from other departments within the hospital.
9. Ensure the patient document tracing system is kept up to date with the movement of patient case notes both into and out of the department.
10. Have knowledge and understanding of the APNs (administrative procedure notes) regarding the preparation and management of patient case notes and waiting list/appointment booking.
11. Support other areas such as the ENT Secretaries and Admissions team.
12. Work collaboratively within a team.
13. Be an effective communicator both face to face and using the telephone.
