Job overview
We are looking for a reliable, organised and enthusiastic person with a strong work ethic to join our committed Older Adult Community Mental Health Services for 37.5 hours per week. This is an office-based position and there may be a need to travel to a different base if required to support the needs of the service or to attend training. Mileage is paid at a standard rate. You will need to have proven customer service/reception experience/skills, i.e., NVQ 2 Diploma in Business & Administration or equivalent. You will contribute to the smooth and efficient running of the office, which includes typing and formatting of correspondence and other data requirements using Word, Excel, and clinical systems, as well as supporting and assisting with referrals processing. It is a busy reception role alongside providing office support; therefore, it is essential to possess strong communication and organisational skills as you will be dealing with a wide range of enquiries in a welcoming yet professional and sensitive manner, ensuring confidentiality at all times. Main duties of the job
1. To ensure patient and staff confidentiality is maintained at all times adhering to Trust and national policy regarding same.
2. To manage workload under supervision, seeking advice when required, performing routine office procedures which may at times during the secretary’s absence include typing of reports, letters, and other documents. The routine office procedures include the opening and distribution of correspondence, dealing with outgoing post, photocopying, filing, and faxing in accordance with current trust procedures.
3. To have a thorough working knowledge of electronic systems including email, SHARON, Clinical systems, and Datix and to update these systems in a timely and accurate manner and in accordance with Trust policy.
4. To be the point of contact for the team in ordering and receipting of goods and services in line with Standing Financial instructions.
5. To prepare and process documentation in respect of the electronic ordering, receipting, and payment of stationary and goods in accordance with Standing Financial Instructions.
6. To maintain healthcare records including the scanning of documentation within the area of responsibility including the compilation of records for new patients, filing, archiving, and using the tracer system in accordance with the Trust Records Management Policy.
7. To assist with the distribution and collation of information around referrals, waiting lists, and other statistics to ensure optimum usage of facilities and assist the team co-ordinator.

Qualifications
