An opportunity has arisen for an experienced office administrator to be responsible for supporting the East Sussex Operating Unit (OU), OU Manager and OU Management Team from our region.
Job type: 12 month secondment
Part Time: 37.5 hrs per week (will accept 30-37.5 hours)

Salary: Band 4, NHS Agenda for Change, £26,530 - £29,114 Per annum + fringe allowance

Main duties of the job
The successful applicant will provide general administrative support to OU Management Team, compiling reports from data gathered from various sources, providing general clerical support, note taking and report writing. They will accompany managers to various meetings to support them, and therefore a polite and courteous manner is required for this role.
You are required to be flexible and have excellent time management skills. The successful applicant will have a good working knowledge of Microsoft Word and Excel and be quick to learn new data systems to extract information.
You will also support our operational staff with pay queries, timesheet inputting and uniform ordering, referring them on to other departments or managers as required for their query.

Detailed job description and main responsibilities
* Provide general clerical, word processing and data input support for the relevant teams as required.
* Coordinate and document relevant to all Operating Unit Staff, liaising with HR, payroll and the lead trainer as required.
* Support our Operational colleagues, Operations Managers and Operations Team Leaders.
* Organise weekly/monthly meetings for the Team, handle messages and respond to enquiries.
* Operate ESR and input all staff training records.
* Collate some monthly timesheets, mileage and expenses claims and support the input on electronic platforms.
* Filing, photocopying, record keeping, postal duties, taking/making routine telephone calls, shredding, distributing and circulating documents and other routine clerical work.
* Coordinate the Operational Team Leader & Operations Managers in the East and update GRS.
Person specification
Qualifications
* NVQ4 in administration or related subject or demonstrable equivalent proven experience.
Knowledge
* Considerable secretarial/administrative experience gained working as part of a team, using own initiative and requiring minimal management.
* Advanced keyboard skills, numerate and able to prepare and present statistical data.
* Good knowledge of Microsoft Word, Excel, Outlook, Powerpoint.
* NHS Experience including GRS, ESR and Excel Spreadsheets.
