We are looking for someone with:
* Some experience of working in an office/reception environment, with direct face-to-face contact with children, families and professionals
* A non-judgemental, respectful, patient and sensitive approach to children and families
* An ability to build and maintain relationships with multi-agency colleagues
* The ability to be flexible in working hours and to adapt to working in more than one Family Hub in any one day
* GCSE’s or equivalent standard in Maths and English at Grade C or above.
About the Role
You will carry out general reception and administration duties including welcoming parents, undertaking regular telephone consultations, inputting onto our bespoke database system and letter writing.
Responsibility and Duties:
* Delegated supervisory responsibility of students and volunteers on placement
* To support the learning and development of others through shadowing and mentoring activities
* To act as a reception point for telephone and personal callers, messages and dealing efficiently and courteously with enquiries
* To operate and effectively manage the visitor recording system for staff and multi-agencies using the service
* To ensure that the Family Hub including reception are tidy, safe and welcoming
* To process incoming and outgoing mail and to distribute as required
* To undertake administrative duties connected to meetings
* To work with the Data Manager in implementing and maintaining the office and data administrative systems, ensuring efficient systems that are accessible to all staff
* To provide administrative support to the Family Hub, this will include, but is not limited to, word processing, data inputting and producing project literature, creating and maintaining databases and photocopying.
* To work across the Family Hubs as necessary, providing full receptionist cover for the area
* To ensure the upkeep of the Family Hubs information notice boards, and the replacement of information leaflets
* To support the Data Manager with data input as required using the bespoke software packages
* Delegated responsibility to ensure that all Family Hub management information is inputted within scheduled deadlines
General Responsibilities
* Take responsibility for own personal and professional development, in line with agreed annual performance objectives
* To undertake any other tasks and duties that may be reasonably requested by management
* Establish and develop collaborative relationships within and across the organisation
* Establish and develop collaborative partnerships outside the organisation that support Halifax Opportunities Trust brands, images and values
* Attend training days and other training as required
* Work flexibly to meet the needs of the service, including, evenings and weekends
* Maintain up to date knowledge regarding legislation
Experience and Knowledge:
* Experience of working in a busy office/reception environment
* Experience of direct face-to-face contact with members of the public
* Experience of dealing with enquiries and requests for information
* Experience in the use of Microsoft Word, Excel, publishing and e-mail
* Experience of managing a Database
Education and Qualifications:
* GCSE level standard of education or equivalent level C or above in Maths and English

* Ability to maintain strict confidentiality where necessary
* Ability to produce accurate work whilst working to tight deadlines
