We are looking for a team administrator to join the MSCB section of EMBL-EBI for a short term 18 month contract to cover an internal secondment. Working closely with the PA to the section and other leaders within the group you will provide excellent admin support About the Team The team administrator is the beating heart of our group and an essential part of our collaborative and innovative section The MSCB team develops essential macromolecular structure resources and tools for biologists and life scientists. No two days are alike, this is a busy role supporting the PA to the section you will be working alongside 8 Group Team Leaders and around 130 colleagues with you can meet some of them here. Duties include: Provide assistance (administration, correspondence, reporting, etc.) to the PA and Group Team Leaders. Provide a full range of administrative services to your Section of approximately 130 people, including; organising Scientific Advisory Board meetings, workshops and other events Coordinate local, national and international travel, arranging accommodation, flights, taxis and visa applications for both internal colleagues and external visitors to the institution. Ensure that staff travel reimbursement claims are processed efficiently. Reconcile the team’s credit card Maintain organisation-wide systems and appropriate digital system for matters relating to the Section in which you work. Process Section equipment and supplies orders, and reconciling section expenditure. Other duties including coordinating and minuting meeting Provide periodic PA cover to the Head of Section and other sections if needed/ holiday cover. You have Methodical approach to work but always looking for ways to innovate and improve Good communication skills, including written and verbal The ability to manage complex teams and working with international partners would be a distinct advantage. Interviews: We plan to hold introductory meeting with selected candidates remotely starting on 29 & 30 April 2025, following this we hope to panel interviews remotely on 8 May 2025 Contract length: Immediate start/ early June would be preferred, with the contract due to finish in December 2026.
