Working closely with our drivers, the Procurement Manager and Business Support Manager, the role of Fleet, Plant & Facilities Coordinator is to manage our diverse fleet range and facilitate the office and buildings maintenance.
This position will involve a diverse range of tasks and will require keen problem-solving skills as well as being extremely organised.
Ensuring there are no operational downtime due to loss of fleet or lack of compliance. Reporting to the Senior Management team any issues as well as the fleet's costs and impacts.
Fleet Coordination
1. Maintaining a fleet database of all vehicles owned by the company, including their make and model, purchase date, current mileage and financial status.
2. Ensuring that all company vehicles are taxed, insured and MOT’d.
3. Be the appointed Transport person for HGV, Licence, Taco records and vehicle compliance.
4. Coordinating with third-party vendors to arrange maintenance, servicing, inspections and repairs for vehicles.
5. Managing fuel card users, suppliers and monitor/report usage.
6. Monitor fleet movements by utilising Fleetmatics management software (Verizon).
7. Maintaining records of fuel usage and mileage, to support expenses claims.
8. Communicating with drivers regarding service appointments for each vehicle.
9. Coordinate new vehicles for sign writing and tracker and camera fitting, and decommissioning.
10. Coordinate with insurance companies to capture and file claims for damaged vehicles.
11. Liaise with Fleet broker for current and future fleet replacements.
12. Ensure weekly vehicle inspections are completed. Monitor vehicle costs and report to Senior Management. Routine fleet audits.
13. Liaise with hire companies to manage any shortfalls in operational fleet.
14. Undertake Driver Licence checks for all fleet users and maintain database.
15. Liaise with external suppliers with regards to routine maintenance and repairs.
16. Monitor average vehicle spend and report to appropriate parties.
17. Reporting vehicle accidents or other incidents involving company vehicles to insurance companies or legal departments as appropriate.
18. Maintain small plant whereabouts database.
19. Hire/off hire management of small plant.
20. Liaise with hire companies to manage any shortfalls in operational plant as required.
Facilities Coordination
1. Ensure the office buildings and warehouse facilities are compliant and safely maintained.
2. Organise and coordinate any building maintenance or servicing schedules.
3. Liaise with contracted cleaning company.
4. Ensure Fire and Health & Safety compliance is met.
5. Responsible for the management of hard FM (building fabric).
The ideal candidate will have at least 2 years fleet experience, be methodical and highly organised and have an excellent understanding of fleet compliance.
