Temporary Family Engagement Assistant/Admin/Receptionist

Pay Rate: £15.26 per hour PAYE
Hours per week: 37 Monday – Friday, normal working hours
Role Length: This opening assignment is for 4-5 months
City: Mitcham
Might be required to work very occasional Saturdays and evenings (on average 5 a year) to meet the needs of the service for which time off in lieu will be negotiated.
The purpose of the role is to be the first point of contact for service users, using knowledge of the MWBM and indicators of need to ensure that family’s needs are assessed and met through the provision of information advice and guidance and ensuring escalation of need as appropriate in-line with local arrangements and safeguarding protocols.
Key Responsibilities:
Take a lead for ensuring that the emotional and physical environment is positive and informative for all users.
Be responsible for ensuring for ensuring that the centres are set up for the day’s activities, solving resource problems quickly and responding flexibly to changes
Be responsible for checking the safety, cleanliness and order of the Centres on a day to day basis, dealing with minor matters and referring more serious health and safety or safeguarding issues.
Liaise with service leads from across LBM and other partner organisations ensure that accurate, relevant and up to date information is available to users and that it is displayed in a way that is attractive and accessible.
Take lead responsibility for the collection, input and maintenance of information on the Children’s Centre database and to interrogate data to produce reports for managers within the service.
Ensure the security of record management across the children’s centres ensuring accuracy, confidentiality and security of data and compliance with statutory requirements.
Liaise with other council departments responsible for Early Years, Childcare and Children’s Centres finance, contracts and payments and external suppliers to ensure smooth administration of the payments system.
Input invoices on to Proactis and other corporate systems as required
Ensure the centres are fully equipped for service, by coordinating orders and maintaining stock and resources. To develop and maintain inventories enabling effective management and audit.
Assist with the implementation of policies and procedures relating to Child Protection, Health and Safety, confidentiality and data protection and ensure that these are reflected in the day to day operation of the centres.
Work with and apply the local Safeguarding protocols ensuring that at all times the needs of the child remain of paramount importance and that reporting requirements are complied with, ensuring confidentiality of information is respected at all times.
Qualifications:
NVQ Level 2 in a related area or relevant experience.
Skills & Experience:
Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Customer service experience essential.
Excellent communication skills with a strong customer facing/service background.
Strong administrative and processing skills.
Time Management skills.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
