Job Description:
As an Administrative Assistant at Aluco Aluminium Limited, you will play a crucial role in supporting the executive team, including the CEO. Your primary responsibility will be to ensure the smooth and efficient operation of the office by handling various administrative and clerical tasks.
Key Responsibilities:
1. Answering the Phone: Professionally answer and manage incoming calls, directing them to the appropriate person or department. Take and relay messages accurately and efficiently.
2. Note Taking: Attend meetings and provide comprehensive and accurate notes. Distribute meeting minutes to relevant team members.
3. Administrative Assistance: Assist the executive team, including the CEO, with daily tasks and projects. Manage schedules and appointments, coordinating meetings and events. Prepare and edit correspondence, reports, and presentations.
4. Office Management: Maintain office supplies and equipment, ensuring everything is in working order. Organize and maintain physical and electronic filing systems. Handle incoming and outgoing mail and packages.
5. Customer Service: Greet and assist visitors in a courteous and professional manner. Address and resolve general inquiries from customers and clients.
6. Project Support: Provide administrative support for special projects as needed. Coordinate with internal and external stakeholders to ensure project deadlines are met.
Qualifications:
* Proven experience as an administrative assistant or in a similar role.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Excellent verbal and written communication skills.
* Strong organizational and time management abilities.
* Ability to work independently and as part of a team.
* High level of professionalism and discretion.
